Job Description

Fast-growing, Series C AI company is looking for a strategic Executive Assistant to support their Co-Founder & CEO. This is an incredible opportunity to be the CEO’s first EA and true right hand, building a close, long-term partnership with a kind, considerate founder at a pivotal stage of growth. In this high-touch role, you’ll own inbox and calendar management, respond on the CEO’s behalf, prioritize who gets time by researching key investors and stakeholders, send a daily brief on priorities and open loops, and bring business context to recommendations on things like speaking engagements and conferences. You’ll also anticipate hosting needs for important visitors, provide light personal support, and offer light calendar and travel support to two other leaders. Someone who is strategic, hyper-organized and proactive, anticipates needs before they’re voiced, and thrives as a trusted partner rather than a task executor. Previous experience supporting a founder or CEO, ideally at an early-stage startup, is a must. This is an in-office role, 5 days/week, based in San Francisco, with high responsiveness outside standard hours and occasional travel. 170-200K DOE.

Responsibilities:

  • Own the CEO’s inbox, learning his voice to respond on his behalf quickly and flagging or drafting anything that needs his input.
  • Proactively manage a complex, fast-moving calendar, protecting the CEO’s time and energy with built-in breaks, commute buffers and careful conflict management.
  • Research and prioritize incoming requests from investors, customers and other key stakeholders so the most important people get time first.
  • Send a daily brief on priorities, open loops and follow-ups so nothing falls through the cracks.
  • Bring business context to requests and make recommendations, such as which conferences and speaking engagements are most valuable.
  • Make sure the CEO is prepped for important meetings and that rescheduling is communicated with context so the team stays informed.
  • Anticipate hosting needs for important visitors and handle on-the-ground logistics, including transportation and meeting readiness.
  • Coordinate domestic travel and occasionally join the CEO on trips to support packed schedules.
  • Provide light personal support, including appointments, personal expenses and quick personal communications.
  • Provide light calendar and travel support to two additional company leaders.
  • Pitch in on light office management, such as keeping supplies stocked, as needed.

Qualifications:

  • 5+ years of experience supporting a founder, CEO or C-suite executive in a fast-paced environment, ideally at an early-stage or high-growth startup.
  • Strategic and hyper-organized, with the ability to come in and recommend how to triage and run things rather than wait for direction.
  • Proactive and solutions-oriented, with an instinct to anticipate needs before they’re voiced.
  • Strong strategic calendaring skills, with the judgment to assess priorities, protect energy and make scheduling decisions without being asked.
  • Excellent written communication skills and the ability to adopt an executive’s voice when corresponding with investors, customers and senior stakeholders.
  • Exceptional discretion and trustworthiness when handling sensitive information.
  • Looking for a long-term, close partnership with an executive and excited to learn the business deeply.
  • Strong hospitality instincts and attention to detail when hosting visitors and managing logistics.
  • Comfortable with high responsiveness outside standard hours and open to occasional travel.
  • Proficient with Google Workspace, Slack, calendaring systems and productivity tools; comfort working alongside AI tools is a plus.

*Please Note: Your application will be considered for all open positions. You do not need to apply for multiple roles.
