Job Description

join our Partnership Development team that is dedicated to making an impact for the people and

*This position requires 4 days onsite in Brentwood, TN.


The Executive Assistant serves as a highly trusted partner
to designated Executive Vice Presidents and department leaders, enabling organizational
effectiveness and leadership focus. Serves
as the initial point of contact for internal and external parties and facilitates
information and communication for the executive and other management team. Acts
as gatekeeper, facilitator, and advisor by anticipating needs, managing competing
priorities, and ensuring seamless execution of executive initiatives across the
enterprise.

ESSENTIAL FUNCTIONS:
The incumbent should be able to perform all of the following
functions at a pace and level of performance consistent with the job
performance requirements.

  1. Completes a variety of administrative tasks for the Executive and other department leaders as directed to include managing calendars and appointments, completing expense reports, arranging travel, and composing and preparing correspondence.
  2. Keeps the Executive leadership team well informed of upcoming commitments and responsibilities, aligning priorities, managing workflows, and ensuring execution of key business objectives.
  3. Provides insight and coordination on high-priority initiatives, including tracking progress, deadlines, and deliverables across stakeholders.
  4. Handles highly sensitive and confidential information with the highest level of integrity and discretion.
  5. Exercises sound judgment in managing communications, priorities, and organizational dynamics
  6. Leads or supports cross-functional projects, ensuring alignment with business goals and tracking outcomes
  7. Drafts, reviews, and refines executive communications, presentations, and correspondence for internal and external audiences
  8. Screens and directs calls and answers questions or refers to the appropriate resource. Reviews, prioritizes, and follows up on incoming issues or concerns and determines appropriate course of action, referral, or response.
  9. Coordinates conferences and executive meetings, including agenda development, pre-read preparation, and facilitation logistics.
  10. Collaborates with other executive assistants to ensure coordination and alignment. Captures key discussion points, decisions, and action items and ensures follow-through and accountability.
  11. Supports leadership team cadence (e.g., quarterly planning, strategic reviews) with strong organizational rigor.
  12. Anticipates executive needs and proactively identifies solutions to enhance efficiency and decision-making.
  13. Prioritizes conflicting needs handles matters expeditiously, and meets expected deadlines.
  14. Serves as liaison with outside charitable and local sports organizations, and other corporate citizenship programs.
  15. Acts as a professional ambassador for assigned leaders, welcoming executive guests, assessing their needs, and ensuring a seamless, high-touch hosting experience.
  16. Domestic U.S. travel may be required.

QUALIFICATIONS:

  • High School diploma, GED certification or equivalent is required.
  • 6+ years of experience supporting senior level
    leaders in a complex, fast-paced organization is required.
  • Additional qualifying education at an accredited college, business
    school, or technical institute in office administration or a related field may
    be substituted for the required experience up to two years.
  • Proficiency in Microsoft Office applications
    is required.
  • Experience in a similar executive-suite level role supporting multiple team leaders is preferred.
