Job Description

In a dynamic and demanding environment, we are looking to strengthen our organization by recruiting an Executive Assistant to provide direct support to the CEO. This key role combines high-level executive assistance with responsibility for internal communication across the company. S/he must interact in a transparent and professional manner with a wide range of stakeholders (Board Members, Athora Group members and staff).

The Executive Assistant will also provide ad-hoc support to the Head of HR and the CFO, depending on business needs.

Your responsibilities:

As Executive Assistant, your responsibilities will include:

  • Serving as the primary point of contact for the CEO.

  • Managing complex agendas, organizing meetings, and scheduling appointments.

  • Scheduling and managing travel plans, expenses, and accommodations.

  • Acting in confidential and discreet way related to tasks and information received while performing the job.

  • Drafting, coordinating and distributing internal newsletters.

  • Preparing and disseminating the CEO’s letters (content collection, formatting and distribution).

  • Organizing Town Halls meetings (logistics, agenda, content preparation and coordination of speakers).

Based on priorities and operational needs, the Executive Assistant will also provide ad-hoc support to the HR director and the CFO.

Your profile

  • You have a bachelor’s degree in secretarial studies, office management, management assistant, etc.

  • You have at least 5 years of experience in a similar role, supporting top management.

  • You are fluent in English, both speaking and writing. You also have very good command of Dutch and French.

  • You have excellent knowledge of current software (MS Office).

  • You demonstrate strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

  • You are able to work on confidential issues, being reliable and discrete.

  • You are flexible and proactive and have the resilience to adapt to organizational and regulatory changes.

  • You can turn obstacles into solutions.
