Job Description

Leading venture capital firm known for backing founders at the earliest stages is looking for an Executive Assistant to support one of their Partners. This is an exciting opportunity to join a well-respected firm with an exceptional track record and gain unparalleled exposure to how iconic companies are built from the ground up. In this role, you'll own high-volume scheduling and calendar management for a Partner who is in constant back-to-back meetings, organize travel, prepare meeting prep and daily agenda briefings, triage communications, process expenses, and support event coordination. You'll work closely with the Chief of Staff to support your executive's priorities. A self-starter who is meticulously detail-oriented with the ability to keep track of multiple moving pieces, and is naturally organized and process-driven - you take pride in creating seamless experiences for those around you. Whether the day gets thrown out or travel plans are scrapped, you are positive, helpful, and utterly flexible to make things work as needed. Must have professional, polished communications, both verbal and written. This is a hybrid role, based in San Francisco-based (3 days/week in-office). 130-165K+ DOE + excellent benefits, 401k with matching, flexible PTO, firm participation program, transportation stipend, and in-office lunch provided 3 days/week.
 
Responsibilities:
  • Provide dedicated executive support to a Partner in a fast-paced, high-performance investment environment.
  • Manage and prioritize complex calendars, schedule meetings, resolve conflicts, and ensure the executive’s time aligns with strategic priorities.
  • Prepare meeting materials, daily agenda briefings, and other administrative support needed for smooth daily operations.
  • Coordinate business travel, including flights, accommodations, transportation, itineraries, and related logistics.
  • Plan and support in-person meetings and executive-driven events, including dinners, offsites, and stakeholder gatherings.
  • Work closely with the Chief of Staff, internal administrative partners, operations teams, and events teams to support executive priorities.
  • Track priorities, manage follow-ups, and provide proactive status updates to keep work moving without repeated follow-up.
  • Communicate clearly, directly, and professionally with internal teams, external stakeholders, founders, and administrative partners.
  • Handle sensitive information with sound judgment, discretion, and confidentiality.
  • Prepare and submit expense reports accurately and on time.
  • Curate, purchase, and send thoughtful gifts for partner contacts and key stakeholders.
  • Maintain strong availability and responsiveness when urgent or time-sensitive business needs arise.
  • Use tools such as G Suite, Slack, Zoom, and Notion to manage scheduling, communication, and workflow coordination.
Qualifications:
  • Experience supporting executives in venture capital, startups, high-growth companies, finance, or another fast-paced professional services environment is preferred.
  • Strong experience with calendar management, scheduling, travel coordination, expenses, event logistics, and executive support.
  • Highly detail-oriented, organized, and accurate, with the ability to manage shifting priorities and keep details from slipping through the cracks.
  • Polished, direct, and error-free written and verbal communication skills.
  • Proactive, responsive, and execution-focused, with excellent follow-through and the ability to complete tasks with minimal oversight.
  • Comfortable supporting a detail-oriented executive with high expectations around communication, accuracy, responsiveness, and ownership.
  • Able to navigate ambiguity, anticipate needs, pivot quickly, and create order in a fast-moving environment.
  • Service-oriented and professional, with pride in creating seamless experiences for executives, teams, founders, and external stakeholders.
  • Comfortable working with urgency, flexibility, and occasional availability outside standard hours, including nights and weekends when needed.
  • Discreet and dependable, with the ability to handle confidential information in a high-trust environment.
  • Willing to take on tasks of all sizes, from strategic coordination to hands-on administrative support.
  • Proficient with G Suite, Slack, Zoom, and Notion, or able to learn new tools quickly.
