Landmark

Reports To: Vice President & General Manager, The Landmark

Position Overview

The Landmark is seeking an experienced and highly organized Executive Assistant to

provide comprehensive administrative and operational support to the Market Vice

President & General Manager (MVP & GM).

This role serves as a trusted partner to the MVP & GM, supporting the effective

management of a dynamic organization of approximately 300–400 employees. The

Executive Assistant will strategically manage the MVP & GM’s calendar,

communications, travel, meetings, and priorities while serving as a key point of

contact for internal and external stakeholders.

In addition to executive support, this role will contribute to strategic projects and

special initiatives, support the MVP & GM’s leadership team of more than 4 Directors

and 16 Managers, and oversee the work of the Landmark Coordinator. The successful

candidate will demonstrate exceptional organization, discretion, communication, and

judgment, with the ability to anticipate needs, prioritize competing demands, and

operate effectively in a fast-paced luxury retail environment.

Key Responsibilities

Executive Support & Calendar Management

  • Strategically manage and optimize the MVP & GM’s calendar, prioritizing highimpact meetings, strategic initiatives, and business priorities.
  • Proactively identify and resolve scheduling conflicts and ensure seamless

coordination across stakeholders.

  • Serve as a primary point of contact between the MVP & GM and internal and

external stakeholders.

  • Manage and prioritize communications, including drafting and reviewing

correspondence and ensuring timely follow-up.

  • Anticipate the MVP & GM’s needs and proactively provide information,

reminders, and support to enable effective decision-making.

Travel & Event Coordination

  • Plan and coordinate complex domestic and international travel arrangements,

including flights, accommodations, ground transportation, and detailed

itineraries.

  • Prepare the MVP & GM for business travel, ensuring agendas, materials, and

logistics are organized in advance.

  • Monitor travel schedules and proactively address changes, delays, or

cancellations.

  • Coordinate travel arrangements for members of the executive leadership team

as needed.

  • Support company events, team-building activities, client meetings, and other

engagements hosted or attended by the MVP & GM, including logistics,

invitations, and follow-up.

Meeting & Executive Meeting Support

  • Prepare meeting agendas, presentations, briefing materials, and other

documents for the MVP & GM.

  • Attend key meetings as appropriate, capture detailed notes, and track followup actions and deadlines.
  • Ensure the MVP & GM has the necessary background, information, and

materials to facilitate informed decision-making.

  • Coordinate follow-up with stakeholders to ensure commitments and action

items are completed.

Project Management & Special Initiatives

  • Support the MVP & GM and leadership team with strategic projects, research,

reporting, and special initiatives.

  • Coordinate time-sensitive projects and deliverables, ensuring deadlines and

priorities are effectively managed.

  • Prepare reports, presentations, and other materials for internal and external

meetings.

  • Organize and maintain confidential physical and digital records and

documentation.

  • Identify potential challenges and opportunities and help coordinate solutions

and next steps.

Administrative & Office Support

  • Manage the MVP & GM’s expenses and provide support for executive team

expenses as needed.

  • Support day-to-day executive office operations, including supplies, vendors,

and maintenance of a professional and organized workspace.

  • Ensure administrative processes are efficient, organized, and aligned with

business needs.

Team Coordination & Leadership

  • Supervise and mentor the Landmark Coordinator, providing direction,

guidance, and support.

  • Delegate tasks and responsibilities to the Coordinator and ensure priorities are

clearly communicated.

  • Foster a collaborative environment focused on excellence, accountability, and

continuous improvement.

Stakeholder Management

  • Build and maintain strong relationships with key internal and external

stakeholders.

  • Represent the MVP & GM and The Landmark professionally in meetings,

events, and other engagements as appropriate.

  • Address and resolve stakeholder questions or concerns with professionalism,

discretion, and sound judgment.

Confidentiality & Discretion

  • Handle highly sensitive and confidential business, employee, client, and

executive information with the highest level of discretion.

  • Exercise sound judgment when managing confidential communications,

documents, and interactions.

  • Maintain professionalism and composure when working with senior executives,

clients, and business partners.

Qualifications

Required

  • 4–6 years of experience in an administrative or executive assistant role

supporting senior-level or multiple executives.

  • Exceptional organizational and time-management skills with the ability to

manage multiple priorities simultaneously.

  • Strong written and verbal communication skills.
  • Demonstrated ability to exercise discretion and maintain confidentiality.
  • Ability to anticipate needs, take initiative, and work independently with minimal

direction.

  • Strong interpersonal skills and the ability to build effective relationships with

senior leaders and diverse stakeholders.

  • Advanced proficiency in Microsoft Office, particularly Word, Excel, and

PowerPoint.

  • Strong attention to detail and follow-through.
  • Ability to operate effectively in a fast-paced, high-touch environment.

Preferred

  • Bachelor’s degree.
  • Previous experience in a luxury, retail, hospitality, or similarly client-focused

environment.

  • Experience supporting a senior executive in a complex, high-volume

organization.

  • Additional language skills are a plus.

The hiring range for this position ranges from $30/hr-$45/hr. The rate of pay offered will be

dependent upon candidates’ relevant skills and experience
