Job ID 23614 – Executive Assistant

Location: Tampa, 33634 – This position is onsite

Pay: $25.00 - $30.00 per hour

Type: Contract, maternity leave until c. Feb 1, 2027

Schedule: Approximately M-F, 8:00 AM–5:00 PM

1. Manage complex, high-volume calendars for multiple executives, proactively prioritizing, rescheduling, and resolving conflicts as business needs and schedules change.
2. Provide proactive administrative support, including expense reporting, light travel arrangements, meeting coordination, logistics follow-up, and consistent follow-through on executive priorities.
3. Partner professionally with internal VPs, executives, and key stakeholders, demonstrating polished communication, sound judgment, discretion, and the ability to anticipate scheduling and administrative needs.
4. Quickly learn and adapt to the individual working styles, preferences, and priorities of four executives while maintaining organization and responsiveness in a fast-paced environment.
5. Bring advanced Outlook and calendar-management expertise; proficiency with PowerPoint and Excel is strongly preferred for supporting presentations, agendas, financial information, and CFO-related needs.

Requirements:

• Must have prior Executive Assistant experience recently (C Suite preferred)
• Must have proven experience with heavy calendar management, proactively managing complex changing calendars
• Must be able to support multiple leaders and the office without a lot of direction
• Must have polished presentation, writing, and communication skills
• Must be MS Excel and MS PowerPoint proficient
• Expense reporting
• High school diploma or equivalent
• Background check required
