Job Description

Growth equity firm investing in high-quality public and private companies is looking for an Executive Assistant to support their Co-Founder & President and Head of Human Capital. This is a highly visible seat on a tight-knit, white-glove admin team, with real exposure to firm leadership and the kind of confidential work only a trusted few touch. In this role, you'll own complex, high-volume calendaring for two executives, manage inbox and daily priorities, prepare briefing and meeting materials, coordinate travel and event logistics, and act as the on-the-ground partner who keeps both executives a step ahead of their week. Someone who is polished and warm, anticipates needs rather than waiting for direction, stays calm when an entire day has to be rebuilt, and is genuinely curious about how AI can make the work better. This is an in-office role, 4 days/week, based in San Francisco's Presidio, with a work-from-home day on a team rotation. 150-180K DOE + 20-30% bonus, overtime eligibility, 100% covered medical, dental, and vision for you and your dependents, and 401K with 5% employer contribution from day one.

Responsibilities:

  • Own complex, high-volume calendar management for two executives, resolving conflicts proactively, protecting breaks and focus time, and building buffers into back-to-back days.
  • Reprioritize and rebuild schedules as plans shift, exercising judgment on what moves and what holds without waiting for direction.
  • Manage one executive's inbox end to end, triaging incoming mail, clearing what isn't important, and delivering a daily list of priorities and outstanding responses.
  • Review the week ahead and surface what matters most, then follow up until items are closed.
  • Prepare meeting and briefing materials in advance, including printed copies where preferred.
  • Coordinate travel and event logistics, confirming details land on calendars and that each executive has what they need before they need it.
  • Serve as the in-person partner for both executives, covering the day-to-day needs that cannot be handled remotely.
  • Partner with the broader assistant team on coverage, events, and firm-wide initiatives.
  • Handle highly confidential information with complete discretion.
  • Provide light personal support on an occasional basis.

Qualifications:

  • Previous 5+ years of experience supporting C-suite or founder-level executives in a fast-paced environment, ideally at a venture capital, private equity, or high-growth startup organization.
  • Proven experience managing high-volume, complex calendars where priorities shift daily and plans are frequently rebuilt.
  • Proficiency with Microsoft Outlook is required; familiarity with OneDrive, SharePoint, Slack, and Notion is a plus.
  • Exceptional organizational skills and attention to detail, particularly around scheduling accuracy, attendees, subject lines, and meeting logistics.
  • Proactive and solutions-oriented with an instinct to anticipate needs rather than wait for direction.
  • Strong strategic calendaring skills with the ability to assess priorities, read energy, and make judgment calls on scheduling without being asked.
  • Excellent written and verbal communication skills, with the ability to interact with stakeholders at all levels.
  • Calm and steady under pressure, able to reset an entire day without getting rattled.
  • Confident in your own judgment while remaining humble and quick to adapt when the situation calls for it.
  • Polished and professional presence paired with genuine warmth, comfortable representing executives to internal and external stakeholders.
  • Curiosity and openness toward AI tools and an interest in using them to work more efficiently; existing fluency is a plus.
  • High degree of discretion and sound judgment when handling sensitive and confidential information.
  • Recent experience working in an in-office environment.
