Key Responsibilities
Country Management Support
Plan and organise travel both international and local for the Country Manager and their direct report (SLT) and manage the travel budgeted for the FY
Update and manage milestones on the Africa calendar (Country)
Manage team engagement activities, monthly/quarterly teas, SLT’s birthdays, Cuppas, FY milestones and achievements
Manage the Countries expenses, including work credit cards spend & investigate any discrepancies
Plan & execute conferences including brand conferences, working on concepts, engagement packs, décor, set up, speakers, content and presentations
Scheduling and Coordination
Manage the calendar
Communication
Serve as a liaison between the Country Manager, SLT’s/ direct reports, clients, and external partners.
Excellent communication, interpersonal and organizational skills
Administrative Support
Provide administrative support, including reports, and presentations.
Manage schedule, coordinate travel, prepare documents, and handle correspondence
Meeting Preparation
Prepare materials and agendas for meetings, and take minutes as needed.
Arrange meals or refreshments depending on the length of the meetings
Travel Arrangements
Coordinate travel arrangements both local and international, including booking flights, hotels, VISA’s and rental cars.
Expense and Budget Management
- Manage the Country Manager’s and SLT's expenses, including tracking and reconciling expenses.
Facilitate Cross Brand Coordination and Project Execution
- Ensure alignment between teams, track progress on key initiatives and eliminate bottlenecks to keep projects moving smoothly to meet deadlines.
Qualifications, Skills and Experience
Experience
2-5 years of experience as an executive assistant or in a similar role.
Industry Experience - Experience working in a similar industry or with a similar executive team.
Communication Skills
Excellent communication, interpersonal, and organizational skills.
Technical Skills
Proficiency in Microsoft Office, Google Suite, or other productivity tools like Youhub and RMS.
Advanced Technical Skills - Proficiency in specialized software or systems relevant to the role
Discretion and Confidentiality
Ability to maintain confidentiality and handle sensitive information with discretion.
Maintain strict confidentiality and exercises sound judgment in managing private, high-level matters
Problem-Solving
Strong problem-solving and analytical skills.
Leadership Skills - Experience leading or supporting teams or mentoring junior staff members.
Anticipate and resolve issues, ensuring smooth operations and minimizing disruptions
High Emotional Intelligence (EQ)
Deeply understands people, relationships business dynamics, allowing for effective communication, decision making and conflict resolution.
