Job Description
We are seeking a highly capable and detail-oriented Executive Assistant & Operations Coordinator to work directly alongside the CEO.
This is a dynamic, high-impact role that blends executive support, content creation, and operational coordination. The ideal candidate is proactive, organised, and confident in client-facing environments, with the ability to manage multiple priorities and contribute to the smooth running of the business.
Key Responsibilities
Act as a trusted partner to the CEO, supporting daily operations and key initiatives
Join client calls and communicate confidently in fluent English, representing the business professionally
Create high-quality design assets (e.g. LinkedIn posts, marketing materials, internal documents)
Plan and execute consistent daily content, particularly for LinkedIn
Manage basic financial administration including quotes, invoicing, and record tracking
Compile and maintain monthly financial summaries and operational reports
Coordinate schedules, meetings, and follow-ups
Support general administrative and operational tasks across the business
Requirements
Fluent English with excellent verbal and written communication
Ability to work EST hours in alignment with a US-based company
Strong interpersonal skills with a professional, client-facing presence
Proven design experience (portfolio required)
Experience with invoicing, bookkeeping, or financial tracking
Highly organised with strong attention to detail
Ability to multitask and operate independently in a fast-paced environment
Comfortable working closely with senior leadership
Preferred Qualifications
Previous experience supporting a CEO or senior executive
Familiarity with LinkedIn content creation and social media management
Proficiency in design tools (e.g. Canva, Figma, Adobe Suite)
Basic understanding of business operations and reporting
