The Executive Assistant & Office Manager provides administrative support to senior leadership while supporting daily office operations, coordinating company events, and assisting with team member committee activities. This role requires strong organization, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Location:
Exton, PA with plans to move to King of Prussia around Q1 of next year.
Role is primarily on-site with some flexibility to work 4 days in office and 1 day remote after they are fully trained.
Key Responsibilities:
Executive Support
- Provide administrative support to assigned executives, including scheduling, calendar management, travel arrangements, and meeting coordination.
- Prepare, format correspondence, presentations and reports as requested.
- Monitor deadlines, priorities, and follow-up items to ensure timely and accurate execution.
- Support communication and coordination between the executive and internal and external stakeholders.
- Manage expense reports, reimbursements, and budget tracking for executive activities.
- Maintain confidentiality when handling sensitive or business-critical information.
Office Management
- Support day-to-day office operations to ensure a smooth, efficient, and welcoming environment.
- Manage office supplies, equipment needs, vendor communication, and contracts.
- Coordinate facilities needs, maintenance requests, workspace planning, and security processes.
- Develop and maintain office procedures and administrative workflows.
- Support new team member onboarding, including space setup, materials, and orientation coordination.
Event Planning & Management
- Plan, coordinate, and execute corporate events, including company meetings, trainings, team events, and off-site activities.
- Coordinate and organize client and executive site visits.
- Coordinate event logistics such as venue selection, catering, travel coordination, technology needs, and materials preparation.
- Manage vendor relationships to ensure high-quality, cost-effective outcomes.
- Create event agendas, run-of-show documents, communications, and post-event evaluations.
- Support leadership in coordinating events that reflect company priorities and create a positive team and client experience.
Committee Management
- General oversight of team member committees.
- Assist with coordinating committee calendars, agendas and events.
- Track action items, deliverables, and timelines; follow up with stakeholders to ensure completion.
- Support preparation of reports, presentations, and documentation required for committee activities.
Qualifications
- 3+ years of experience in an Executive Assistant, Office Manager, Administrative Manager, or similar role.
- Proven ability to support senior leaders in a fast-paced business environment.
- Strong organizational, project management, and multitasking abilities.
- Excellent written and verbal communication skills.
- High attention to detail and strong problem-solving capabilities.
- Demonstrated ability to manage confidential information with discretion and professionalism.
- Proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel.
- Experience coordinating meetings, events, travel arrangements, and office operations.
- Ability to work independently while collaborating effectively across teams.
Preferred Qualifications
- Experience supporting executives within a growing or mid-sized corporate environment.
- Event planning and vendor management experience.
- Experience with budget tracking, expense reporting, and administrative process improvement.
