We’re looking for an Executive Assistant & Office Manager who will be at the heart of our Stockholm office - ensuring smooth daily operations while providing high-quality support to our executive team.

This is a dynamic, hands-on role for someone who thrives in a fast-paced environment, enjoys balancing multiple priorities, and takes pride in creating structure, efficiency, and a great workplace experience.

What you will do

Office Management: 

  • Ensure the office runs smoothly, stays organized, and is fully stocked

  • Manage vendor relationships and coordinate services and deliveries

  • Oversee facility maintenance, repairs, and office-related projects

  • Act as the first point of contact for employees and visitors, creating a welcoming environment

  • Support and lead office-related projects such as office renovations or relocations, coordinating timelines, stakeholders, and vendors

  • Hold budget responsibility for office-related cost centers, including tracking, forecasting, and cost control

  • Own workplace safety compliance

Executive Support: 

  • Provide day-to-day support to CEO (calendar management, meetings, travel, events, expense reporting)

  • Support the wider executive team (meetings, travel, events)

  • Support preparation of presentations, reports and materials for leadership meetings

  • Handle sensitive information with discretion and professionalism

  • Coordinate logistics for executive meetings, including scheduling and setup

Event Planning: 

  • Plan and execute internal events - from team gatherings to larger offsites

  • Collaborate cross-functionally to ensure smooth and engaging experiences

  • Lead planning and coordination of global company events (e.g., annual kick off) including:

  • Booking hotel accommodations for employees

  • Scheduling conference spaces and coordinating vendors

  • Creating and managing detailed event itineraries

Administrative Support: 

  • Support with expenses, invoices, and general administrative tasks

  • Assist HR with onboarding and employee-related coordination

  • Own and manage the Egencia travel platform globally, including user access, support and travel policy compliance adherence

  • Leverage AI tools and automation to streamline administrative processes

Your Background 

  • Highly Organized: You can juggle multiple tasks and deadlines with ease and know how to prioritize what matters most. 

  • Proactive Problem Solver: You anticipate issues before they arise and come up with solutions quickly. 

  • Strong Communicator: You have excellent verbal and written communication skills in English, and you’re able to interact with colleagues at all levels with professionalism and ease. 

  • Resourceful & Tech-Savvy: You’re adept at using office software and systems to streamline processes and increase efficiency. 

  • Adaptable: You thrive in dynamic environments and are comfortable navigating ambiguity. 

You bring: 

  • 5+ years of experience in office management, executive support, or similar roles

  • Strong organizational skills with the ability to prioritize and multitask effectively

  • A proactive, solution-oriented mindset - you anticipate needs before they arise

  • Excellent communication skills and a professional, approachable presence

  • Strong proficiency in tools like Microsoft Office

  • High level of discretion when handling confidential information

  • Experience coordinating events and working with multiple stakeholders

  • Ability to work independently while contributing to a collaborative team

  • Open to working outside normal working hours when needed.
