Note: This position is part of Nokia Defense. Due to a system limitation in NokiaMe, the organization currently appears under GGR.

The Executive Assistant for the Nokia Defense Leadership Team is a trusted partner responsible for enabling efficient, seamless operations across all leadership functions. This role provides high-level administrative, organizational, and operational support to the entire leadership team, ensuring that strategic priorities are executed smoothly and that leaders are empowered to focus on driving Nokia Defense’s mission. The Executive Assistant acts as a central point of coordination, communication, and problem-solving, contributing to a culture of excellence, agility, and collaboration.

Leadership Team Support

  • Provide proactive administrative and operational support to all members of the Nokia Defense leadership team, including scheduling, travel arrangements, meeting coordination, and document management.
  • Manage complex calendars, prioritize requests, and ensure optimal time management for leaders.
  • Prepare, review, and distribute meeting agendas, minutes, presentations, and follow-up actions.

Operational Efficiency

  • Coordinate cross-functional activities and projects to ensure alignment and timely execution of strategic initiatives.
  • Support onboarding and integration of new leadership team members.
  • Track and follow up on key deliverables, deadlines, and operational metrics.

Communication & Collaboration

  • Serve as a liaison between the leadership team and internal/external stakeholders, ensuring clear and timely communication.
  • Facilitate information flow, manage confidential correspondence, and support internal communications.
  • Organize leadership team events, workshops, and offsites.

Process Improvement

  • Identify opportunities to streamline processes and enhance operational effectiveness.
  • Implement best practices for document management, workflow automation, and team collaboration tools.

Confidentiality & Professionalism

  • Handle sensitive information with discretion and maintain the highest standards of confidentiality.
  • Represent Nokia Defense and its leadership team with professionalism in all interactions.
  • Proven experience supporting senior executives or leadership teams in a fast-paced, complex environment.
  • Exceptional organizational, multitasking, and prioritization skills.
  • Strong communication and interpersonal abilities.
  • Advanced proficiency in Microsoft Office and collaboration tools.
  • Ability to work independently, exercise sound judgment, and anticipate needs.
  • Experience in defense, technology, or multinational organizations is an advantage.
  • High level of integrity, discretion, and professionalism.
