The Executive Assistant provides day-to-day administrative and operational support to the Chief of Staff, External Affairs Director and other principal staff team in a fast-paced Capitol office. The position requires a steady, detail-oriented professional who can manage shifting priorities, handle sensitive information with discretion, and maintain composure under pressure. This is a hands-on role with frequent in-person interaction with the Speaker, legislators, senior leadership, and staff across the organization.

Key Responsibilities

  • Manage daily schedules, meeting logistics, and internal office priorities for the External Affairs Director and principal staff team.
  • Coordinate events, from small meetings to large-scale gatherings, ensuring seamless execution.
  • Track and follow up on tasks, deadlines, and requests to ensure timely completion.
  • Prepare, edit, and proofread documents and materials for accuracy and clarity.
  • Greet and assist visitors, staff, and stakeholders in the Capitol office.
  • Maintain organized physical and digital files for quick reference.
  • Support office operations, ordering supplies, and handling administrative needs as they arise.
  • Uphold confidentiality and discretion in all communications.

  • Previous experience in a government, legislative, or high-demand office environment preferred.
  • Strong organizational skills with the ability to juggle multiple priorities.
  • Clear, concise communication skills in person, by phone, and in writing.

  • Reliability, punctuality, and consistent follow-through.
  • Ability to remain calm, professional, and solution-focused under pressure.

Supplemental information

Work Environment
This position is based in the Michigan State Capitol and requires in-person work from roughly 8:30 AM to 6:00 PM, with occasional remote work and extended hours during peak legislative periods. The role involves frequent interaction with senior elected officials and staff in a busy, high-stakes setting.
