Job Description Summary

Provide proactive executive and administrative support to the Head META Cluster and selected members of the META Leadership Team, enabling effective coordination, communication, planning and execution across the Middle East, Türkiye and Africa.

Liaising with other office support & facilities across multiple departments, and global/regional teams in support of their activities.

Help define communication and engagement activities and implement / execute aligned approach.

Job Description

Major accountabilities:

  • Manage complex calendars, scheduling, priorities and correspondence for the Head META Cluster and selected members of the META Leadership Team.
  • Coordinate domestic and international travel, itineraries, visas, accommodation and related logistics.
  • Organize META Leadership Team meetings, town halls, workshops, leadership visits and offsite sessions, including agendas, materials and logistics.
  • Prepare and format presentations, briefing packs, reports, organizational charts and leadership communications.
  • Track meeting decisions and actions and coordinate timely follow-up with relevant stakeholders.
  • Act as a professional point of contact for country leaders, regional and global functions, and selected external stakeholders.
  • Support strategic projects, organizational initiatives, approval processes, document control and records management.
  • Handle sensitive business and people information with a high level of discretion and confidentiality.
  • Help define communication and engagement activities and align with in country timelines and key stakeholders, including townhalls, virtual talent connections with country teams etc.
  • Support onboarding and administrative coordination for leadership team members where required.
  • Coordinate office management and operational administration where applicable and in line with company policies.

Key performance indicators:

  • Effective prioritization and responsive support for the Head META Cluster and selected members of the META Leadership Team.
  • Timely, accurate and high-quality meeting materials, presentations and correspondence.
  • Well-coordinated leadership meetings, travel, events and visits.
  • Timely completion and follow-up of agreed actions.
  • Positive stakeholder feedback on service quality, professionalism and collaboration.
  • Consistent protection of confidential information and compliance with company requirements.

What you will bring to the role:

  • Bachelor’s degree in a related field.
  • Relevant qualification in business administration, office management or a related discipline is advantageous.
  • Fluent English is essential.
  • Arabic is desirable
  • At least 5 years of Executive Assistant or senior administrative support experience to top management (General Managers, Head of Function etc)
  • Experience in working in a matrixed multinational environment.
  • Demonstrated experience in managing complex calendars and coordinating international travel.
  • Strong experience organizing leadership meetings, events and multi-country activities.
  • Advanced proficiency in Microsoft Outlook, PowerPoint, Word, Excel and Teams.
  • Proven experience in using AI tools and resources
  • Excellent planning, organization, communication and stakeholder-management skills.
  • Strong attention to detail and ability to manage competing priorities in a fast-paced, changing environment.
  • High discretion, sound judgment, intercultural awareness and a proactive, solution-oriented mindset.
