Job Description

The firm is seeking a polished and proactive Legal Executive Assistant to support multiple partners in a fast-paced boutique law firm environment. This individual will serve as a trusted administrative partner, helping manage communications, scheduling, travel coordination, billing support, and day-to-day operational needs across active client matters.

Key Responsibilities:

  • Monitor and manage high-volume email traffic, prioritize communications, and track follow-ups
  • Manage complex calendars, scheduling, and meeting coordination
  • Identify time-sensitive and high-priority matters to ensure nothing slips through the cracks
  • Assist with billing coordination, invoices, and expense reporting
  • Track the status of bills, submissions, and matter-related correspondence
  • Coordinate domestic and international travel arrangements
  • Assist with matter coordination, deadlines, and administrative support
  • Prepare correspondence, presentations, and other documents
  • Maintain organized files and records
  • Coordinate with clients, vendors, and internal team members
  • Handle confidential and sensitive information with discretion

Qualifications:

  • 3+ years of legal executive assistant experience preferred
  • Experience supporting multiple partners/ executives
  • Strong organizational and communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional, responsive, and detail-oriented
  • Strong judgment and ability to work independently
  • Proficiency with Microsoft Office Suite and billing/expense systems
