The Executive Assistant III supports the Chief Operating Officer and the Division of Operations. This position involves confidential administrative,secretarial/clerical work at the executive level and performs a variety of complex administrative, secretarial, and clerical functions tomaintainoperations throughout the division. The Executive Assistant III exercises confidentiality, independentjudgment,and actionin accordance withdelegated responsibilities from assigned supervisor(s) throughout the Division of Operations. The position involves monitoring and tracking multiple operating, capital, special revenue, and grant budgets. This position works with Facilities Management, Planning & Construction, Transportation, Food & Nutrition, Safety & Security, Environment, schools, and other support and instructional offices and staffregardingthe divisions delivery of supports and operation services to school and offices.
MINIMUM QUALIFICATIONS
A combination of education and experience may be considered.
Education:
Possession of anAssociate'sdegree from an accredited college or university or the equivalent combination of education and experience.
Experience:
Three (3) years of clerical, secretarial, and/or administrative support in an office setting with increasing responsibilities.
One (1) year of experience working with budgets, performing account reconciliation, and/or creating financial reports.
One (1) year of experienceutilizingspreadsheets to organize, manipulate, and analyze data.
One (1) year of work experience usingweb-basedproductivity and collaboration applications such as Microsoft Office.

Education:
Bachelor's Degree from an accredited college or university.

ESSENTIAL POSITION RESPONSIBILITIES

Schedules meetings andmaintainsthe calendar for the Chief Operating Officer.
Organizes, coordinates, and performs administrative level secretarial/clericalfunctions;including those of a confidential nature.
Prepares and edits correspondence, entailing a wide knowledge of the Department's programs, procedures,functionsand policies.
Prepares agendas for meetings and sends notices of meetings; takes minutes as necessary.
Prepares the data and reports for Board of Education meetings.
Maintainsfinancial records related to the Division of Operations.
Prepares and processes payments, purchase orders, direct payments, and other financial requests for the division.
Maintainsfinancial records related to operating,capital, andgrant funds for the Division of Operations.
Interprets administrative decisions and policies within the assigned scope of duties and responsibilities.
Provides excellent customer service to internal and external stakeholders.
Works collaboratively with staff in the Division of Operations to support division initiatives and projects.
Assistsin the preparation of local and state budgets and grants.
Utilizes technology to create andmaintainelectronic databases, reports, spreadsheets,logs,and otherinformationrelated to the functions of the department.
Organize andmaintainfilesto support office functions.

EMPLOYMENT INFORMATION
Compensation
This is a12-month per year position in the Howard County Education Association, Educational Support Professionals (HCEA-ESP) employee unit. The current salary rangefor this position is Grade 23on the Technical Central Office and School Based salary scale, $57,748- $107,463 Step placement will bein accordance withthe salary procedures of the Howard County Public School System and the HCEA-ESP Master Agreement which considers relevant prior experience. Under the Fair Labor Standards Act, this position is exempt from overtime.
Retirement
Membership in the Maryland State Retirement Agency (MSRA) pension plan is a mandatory condition of employment for all employees who meet the eligibility and membership criteria defined in the State Personnel and Pensions Article and the Code of Maryland Regulations (COMAR). A qualifying employee cannot reject membership, nor can an ineligible employeeelectmembership.The annualcontribution to the pension plan will be 7% of an employee’s annual salary
