The Executive Assistant serves as the operational and business management lead for the Chief Privacy Officer/DPO Director, Chief Data Officer/EDO Director, and the State Chief Information Security Officer/ESRMO Director, while also supporting Program Directors and Deputy Directors across the ESRMO, EDO, and DPO divisions.

Reporting directly to the State Chief Information Security Officer, the Executive Assistant drives the design, coordination, and execution of processes that improve organizational efficiency, accountability, and strategic alignment. Core responsibilities include oversight of purchasing, logistics, and process improvement initiatives that strengthen service delivery across divisions.

This position requires strong independent judgment and the ability to interpret and apply complex administrative policies while coordinating cross divisional efforts that support ESRMO/EDO/DPO strategic objectives. The role also involves extensive interaction with internal staff, agency leaders, representatives from other state agencies and universities, clients, service recipients, elected and appointed officials, and vendors.

Key Responsibilities

- Serve as liaison to NCDIT Procurement, Human Resources, Legal, Operations and Communications divisions to integrate EDO/ESRMO/DPO operations with agency processes

- Prepare and manage eProcurement requisitions for hardware, software, software renewals, and services and procurement card purchases

-Track supplemental staffing requests, renewals, and expenditures in collaboration with hiring managers

- Manage executive leadership calendars, travel arrangements, logistics, approval reimbursement and vendor coordination

- Coordinate logistics for executive meetings, interviews, and division-wide events

Recruitment Salary: $45,431 - $79,504

Worksite Location: Raleigh, North Carolina

This position is designated Statutory Exempt and is exempt from the State Human Resources Act.

Knowledge Skills and Abilities/Management Preferences

  • Considerable knowledge of administrative and business management principles; reflective of strategic planning, project management, internal organizational systems and processes pertaining to HR onboarding/offboarding using a service account platform

  • Experience preparing and managing eProcurement requisitions for hardware, software, renewals, and services, including conducting timely follow‑up to ensure all requisitions meet required timeline expectations

  • Experience managing executive leadership calendars, travel itinerary, logistics, vendor coordination; exercising professionalism, and confidentiality

  • Proficiency in Microsoft Office 365, SharePoint, ServiceNow and other enterprise systems

Minimum Education and Experience

Bachelor’s degree, preferably in business administration or a related discipline from an appropriately accredited institution;

Associate’s degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience;

High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience; or an equivalent combination of education and experience.
