Under supervision, performs complex, highly responsible and confidential secretarial and administrative support activities to executive level management and related department.
Principal Duties:
Performs complex secretarial and administrative support duties which include, but not limited to; creating/preparing general to complex correspondence and spreadsheets, preparing varied and complex reports, creating/designing general to complex PowerPoint presentations and presentation materials, scheduling and maintaining complex schedules in Outlook calendar, and overseeing and coordinating internal and external events.
Performs advanced administrative support duties which include, but not limited to; coordinating travel and accommodations/coordinating/ scheduling meetings and conference calls, preparing/submitting expense report, and onboarding of new resources
Handles executive-level internal and external communications which includes; handling incoming phone calls, returning phone calls, responding to voice-mails, managing incoming e-mails by forwarding and responding to e-mails as appropriate, and creating and mailing letters and memos on behalf of Executive and department.
Acts as project manager on assigned projects, provides administrative assistance as needed on other special projects and maintains departmental file sharing and intranet site(s), as requested.
Performs department records management duties (electronic and paper), including organizing, retrieval, archiving and storage.
Oversees and performs office management duties.
Performs general administrative support duties which include, but not limited to; opening and distributing mail, preparing outgoing mail, filing and file maintenance, and copying, faxing and scanning.
Liaise with internal cross-functional teams to ensure high-degree of collaboration, communication and awareness of department priorities.
Coordinates with internal Procurement and Legal teams to ensure timely contract execution while adhering to Company policy.
Performs vendor management activities including initial review and coding of invoices to support timely approval and payment of vendor invoices.
Facilitating team building events and building/maintaining relationship with the broader RGA administrative assistant network.
Qualifications:
Education:
H.S. Diploma or General Education Degree (GED) GED or equivalent experience Required
Associate’s Degree (AA) Preferred
Bachelor’s Degree in Arts/Sciences (BA/BS) Preferred
Work Experience:
7+ Years Secretarial and administrative experience Required
Experience in a global business enterprise with operations on various continents, time zones, and cultures Required
4+ Years Project coordination experience Preferred
Skills & Abilities:
Prior experience working in fast-paced environment Required
Advanced Word, Intermediate Excel and PowerPoint skills Required
Intermediate math skills Required

Compensation Range:
$57,300.00 - $81,870.00 Annual
Base pay varies depending on job-related knowledge, skills, experience and market location. In addition, RGA provides an annual bonus plan that includes all roles and some positions are eligible for participation in our long-term equity incentive plan. RGA also maintains a full range of health, retirement, and other employee benefits.
