The Role and Team:

We are seeking an experienced, highly organized, and proactive Executive Assistant to support the Chief Commercial Officer, based in Zurich.

This is a highly visible role that combines executive support & business operations. As a trusted partner to the CCO and Leadership Team, you will play a key role in enabling leadership effectiveness, driving operational excellence, and supporting the execution of strategic priorities across a global organization.

Working closely with senior stakeholders across regions and functions, you will manage executive priorities, coordinate key initiatives, facilitate leadership processes, and foster collaboration across teams. In addition, you may provide support to members of the Global Central Team and other senior leaders as business needs require.

The successful candidate will bring strong organizational skills, sound judgment, attention to detail, and a proactive, solutions-oriented approach, while maintaining the highest standards of professionalism, discretion, and confidentiality.

  • Manage complex calendars and schedule meetings, travel arrangements, and other executive commitments, ensuring optimal time allocation and prioritization of meetings, appointments, and events.
  • Arrange domestic and international travel logistics, including flights, accommodations, and ground transportation, while adhering to budget and company travel policies.
  • Prepare and manage correspondence, emails, reports, presentations, and other documents as needed.
  • Draft and proofread emails, memos, presentations, and other correspondence on behalf of the Chief Commercial Officer and leadership team, ensuring clear and concise communication.
  • Coordinate logistics for meetings, prepare agendas and materials, take minutes, and track action items.
  • Lead and coordinate global events and executive engagements from planning through execution, partnering with cross-functional teams, vendors, and stakeholders to deliver successful outcomes.
  • Assist with special projects, research, data collection, and analysis as required.
  • Work as a team with the other existing executive assistants within the organization, communication & team work are key.
  • Build and maintain positive relationships with internal and external stakeholders, including clients, vendors, and other departments..
  • Process expense reports, invoices, and purchase orders, and assist with budget tracking.
  • Own new employee onboarding for our team from information sharing and training to adding to communication channels to securing equipment and supporting managers with new employees.
  • Become a point person for our team to navigate internal tools and processes.
  • Ensure that team members are aware of company policies and procedures, as well as any specific team guidelines.
  • Maintain strict confidentiality of sensitive information and ensure compliance with company policies and procedures.
  • Be flexible and willing to travel domestically and internationally as needed to support executive priorities, leadership activities, business operations, and key organizational events.
  • Drive executive rhythm-of-business processes, including quarterly planning, leadership offsites and business reviews.
  • Support organizational change management and communication rollouts across teams.
  • Facilitate cross-functional alignment between departments and global teams across time zones.
  • Support procurement coordination.
  • Act as backup support for other Executive Assistants during absences.
  • Coordinate internal recognition initiatives, team engagement activities and culture-building efforts.

Key Qualifications:

For consideration, you must bring the following minimum skills and experiences to our team:

  • Proven experience supporting senior executives in an Executive Assistant, Executive Business Partner, or similar role, ideally within a global commercial, sales, or marketing environment.
  • Excellent command of English, with outstanding written and verbal communication skills and the ability to build trusted relationships with stakeholders at all levels of the organization.
  • Strong organizational, planning, and prioritization skills, with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced and evolving environment.
  • Demonstrates initiative, sound judgment, and a proactive approach to problem-solving, anticipating needs, removing obstacles, and ensuring effective execution of priorities.
  • Brings a global mindset and collaborative approach, working effectively across cultures, functions, and time zones while fostering strong partnerships and alignment.
  • Exhibits professional maturity, executive presence, and the confidence to operate independently while supporting senior leaders and navigating complex organizational environments.
  • Demonstrates a strong sense of ownership, accountability, and follow-through, consistently delivering high-quality outcomes and meeting commitments.
  • Maintains the highest standards of integrity, discretion, and professionalism when handling sensitive and confidential information.
