About the Role

The Executive Assistantto theGeneral Counselis a service-focused, first point of contact for people in thelegalteam and people who engage with the team. With a friendly, positive attitude and a willingness to get things done, the Executive Assistantwillhavea high levelof technological literacy and supportthe team in a wide range of administrative functionsCatering to the need ofa contemporary,dynamic team, the Executive Assistantwilluse their superior communication and interpersonal skills toassistthe team to deliver high quality service and advice to stakeholders within RMIT ina timelyand customer focused manner.

You willbe responsible forapplyingyourgeneral knowledge to fulfill administration and coordination duties for keypersonnel andbeable to complete work assignments guided by policy, precedent, professionalstandardsor managerialexpertise

Other Duties Include:

  • Supportingthe review and redesign of the legal operating model, including workload allocation and project management activity and support from time to time.

  • Managingthe General Counsel diaryand administrative tasks.

  • Supportingthe team(both Legal and CCI)in relation to administrative tasks.

  • Providinga service-focused,professionalpoint of contact for internal stakeholders and external parties dealing with the team

  • Managingenquiries from RMIT stakeholders, providing basic responses, and directing enquiries to the relevant staff member (including monitoring and redirecting requests from the Legal inbox).

  • Implementing,administeringandmaintainingthe electronic document and matter management system for the team andprovidingassistanceand training to system users as required (M365,SharepointWorkdayandXakia)

  • Assistingthe General Counsel to implement andmaintainefficient and effective work practices within the team, including theassistancewith contract execution processesas necessary.

  • Supportingthe creation and maintenance of content for the team intranet pages, SharePointsitesand administration of updates to templates and other documents as requested.

  • Assistingwith document formatting or manipulation (eg, extraction, rearrangement, consolidation) as required by the team.

  • Assistingteam members to book and arrange meetings/events, catering,traveland attendance at events asrequired,in accordance withRMIT policies.

  • Processingand managingpurchase orders and invoices for services received by team membersin accordance withRMIT policies and using RMIT systems (including Workday).

  • Supportingthe onboarding of members of the team, including contract workers and consultants.

About You

To be successful in this position,you’llhave

  • Demonstrated experience working in a customer-focused team environment with a proven ability towork collaboratively with multiple stakeholders from a range of experience levels.

  • Proven experience working as an Executive Assistantsupporting a team and/or Senior Leaderswith great attention to detail

  • Demonstrated substantial experience working in administration and in an office environment with a proven ability to develop efficient systems and processes using contemporary technological tools.

  • High levelof computer literacy and ability to administer andmaintainelectronic systems and workflows (including experience with Office 365, includingSharepoint,Workday,Wordand Excel) and the ability to adapt to changing technological needs and environments.

  • Excellent oral, written,interpersonaland time management skills.

  • Demonstrated ability to work autonomously as well as within a fast-moving team environment.

  • Proven ability tooperatewitha high levelof confidentialityand discretion.

  • Positive, friendly, can-do attitude.

The role sits within the Legal and Central Complaints & Investigation team (team) group in the Operations Portfolio. Legalis responsible forthe full range of legal services to all areas of the University, providing strategic legal advisory and support services to the University and its controlled entities. Central Complaints & Investigations (CCI) is an independent integrity unit responsible for managing complaints and investigations lodged by members of the public, and serious misconduct matters involving staff, whistleblower disclosures, fraud, conflict of interest and privacy.
