Job Description

The Executive Assistant to the General Counsel provides high-level administrative and executive support to the Office of the General Counsel and serves as a trusted administrative partner to the General Counsel. The position is responsible for coordinating schedules, meetings, communications, travel, and other administrative activities necessary to support the operations of the department. The Executive Assistant works with a high degree of professionalism, discretion, confidentiality, and independent judgement due to the sensitive legal and institutional matters handled by the office.

The successful candidate will be highly organized, responsive, detail-oriented, and able to anticipate needs and manage competing priorities in a fast paced environment. The Executive Assistant interacts regularly with University leadership, faculty, staff, and internal and external stakeholders.

This position is not eligible for new visa sponsorship at this time. Candidates who already hold valid U.S. work authorization may be considered.

Key Responsibilities

-Legal Operations.

-Provide executive-level administrative support to the General Counsel, including calendar management, meeting coordination, travel, correspondence, and preparation of meeting materials.

-Coordinate meetings and activities involving the General Counsel, University leadership, attorneys, external counsel, and other stakeholders.

-Prepare, organize, and maintain agendas, briefing materials, reports, correspondence, presentations, records, and other documents.

-Receive, prioritize, and appropriately route inquiries and communications directed to the Office of the General Counsel.

-Coordinate administrative aspects of legal, litigation, subpoena, and other sensitive matters as directed by the General Counsel or attorneys within the Office.

-Process invoices, travel authorizations, expense reimbursements, purchasing documentation, and other administrative transactions in accordance with University policies.

-Maintain confidential files, records, and other information systems for the Office.

-Assist with coordination of Office projects, training, events, and other initiatives, including tracking timelines, action items, and follow-up.

-Maintain professional relationships with internal and external stakeholders and exercise appropriate judgment when handling sensitive information.

-May provide work direction to student employees as assigned.

-Perform other reasonable duties as assigned by the General Counsel.

Minimum Qualifications

-Bachelor's degree from an accredited institution or an equivalent combination of education and related experience.

-At least five (5) years of progressively responsible administrative or executive support experience.

-Demonstrated ability to organize, prioritize, and coordinate complex schedules, meetings, and administrative activities.

-Demonstrated ability to exercise independent judgment, initiative, discretion, and confidentiality.

-Excellent organizational, interpersonal, written, and verbal communication skills.

-Strong computer skills, including proficiency with Google Workspace, and the ability to learn new programs and software.

-Ability to work independently and effectively under pressure while maintaining a highly professional demeanor.

Preferred Qualifications

-Experience providing executive support in higher education or another complex organization.

-Experience working in a legal, compliance, governmental, or similarly confidential environment.

-Experience supporting senior leadership and coordinating complex meetings, projects, or institutional activities.

Salary will be between $60,000 and $65,000 per year, commensurate with education and experience.
