• Provide high-level executive assistant support, including email and calendar management
• Take ownership of ongoing administrative tasks and keep projects moving forward proactively, without requiring constant direction
• Help develop, document and implement Standard Operating Procedures (SOPs) for site processes (e.g. sign-in/sign-out, site access, parking, compliance requirements)
• Bring clarity and structure to currently disorganized systems, workflows and information
• Improve job/project visibility so client status enquiries can be answered quickly and accurately
• Support compliance documentation processes, including maintaining structured checklists within the job management system
• Research and shortlist software/system options (including AI-based tools) to help centralize and streamline operations, presenting recommendations for final decision-making
• Assist with invoicing, work orders and job scheduling as needed
• Support broader business development and administrative tasks as the role evolves
