Job Description

  • Full-time, 14 -month Fixed-Term position at HEW Level 6 until 7 January 2028.
  • Parramatta South campus with flexible working arrangements.
  • Salary: $97,693 – $104,713 per annum, plus 17% Super and Leave Loading.

Provide executive support, coordination and administrative services for the Dean and School executive function.

The Opportunity

In this position, you will provide high-level executive and administrative support to the Dean in this full-time maternity leave cover role from 2 November 2026 to 7 January 2028. This role is central to the coordination of diary and email management, meetings, travel arrangements, correspondence and key documents that support decision-making across the School.

You will be a key point of contact for internal and external stakeholders seeking access to the Dean’s Office. You will coordinate communication, prepare and distribute materials, manage incoming and outgoing correspondence, and ensure briefing papers, minutes and other documents are prepared and circulated when required.

You will also support projects, events and day-to-day operations across the Dean’s unit. This includes collating information, preparing standard reports, assisting with presentations, coordinating School events and forums, maintaining annual planning materials, managing records in TRIM, supporting facilities and asset management, processing invoices, and assisting with purchasing in line with University requirements.

What Success Looks Like:

  • Deliver accurate, timely and confidential executive support to the Dean.
  • Coordinate meetings, correspondence, travel and documentation with strong attention to detail.
  • Support School projects, events and forums through effective planning and logistics.
  • Maintain records, assets, purchasing and invoice processes in line with University policy.
  • Build effective relationships with internal and external stakeholders across the School.

About You

  • Appropriate tertiary qualifications in a relevant discipline, or equivalent training and experience in a large and complex organisation.
  • Proven experience in an executive setting, with highly developed organisational, project and time management skills.
  • Ability to manage high-volume workloads, competing priorities and unexpected events using sound judgement.
  • High-level skills in Office software programs, including spreadsheets, word processing and databases.
  • Well-developed written, interpersonal and communication skills, with the ability to proofread, advise and liaise with professionalism.
