About the Role

We’re hiring a highly organized, tech-forward Executive Assistant to support a fast-moving CEO based in Copenhagen.

This is not a traditional administrative EA position.

You will act as both an operational right-hand and a automations projects — bringing clarity to workflows, optimizing ClickUp, and implementing automation and AI tools that create real leverage across the business.

This is the CEO’s first EA hire, which means you’ll play a foundational role in shaping how systems, communication, and execution flow inside the company. Flexibility, ownership, and adaptability are essential.

Key Responsibilities

Executive Support

  • Manage calendar, scheduling, inbox prioritization, and follow-ups
  • Structure meetings with clear agendas, notes, and action tracking
  • Proactively remove bottlenecks and operational friction
  • Coordinate communication across internal and external stakeholders

ClickUp & Systems Management

  • Own and optimize the ClickUp workspace structure
  • Build and maintain workflows, dashboards, automations, and SOPs
  • Ensure tasks, deadlines, and priorities are clearly organized
  • Improve operational visibility and team alignment

Automation & AI

  • Identify repetitive processes and implement automation solutions
  • Integrate AI tools (e.g., ChatGPT, Claude) to increase productivity
  • Explore and assist with OpenClaw setup (curiosity required; experience is a plus)
  • Continuously recommend improvements to systems and workflows

Operational Optimization

  • Design lightweight systems that scale execution
  • Document processes and create repeatable frameworks
  • Translate ideas into structured action plans

Requirements

Ideal Candidate Profile

You are:

  • Highly organized and systems-oriented
  • Strong in ClickUp (or similar project management tools)
  • Comfortable building automations using tools like Zapier or Make
  • AI-native — you actively use AI to enhance productivity
  • Proactive, solution-driven, and comfortable working independently
  • Detail-oriented but capable of thinking strategically
  • Based in a time zone with strong overlap with CET

Bonus Points

  • Experience supporting founders or CEOs
  • Experience with OpenClaw or willingness to learn quickly
  • Strong technical curiosity and process-building mindset
