WHO YOU’LL WORK WITH
As our Executive Assistant, you will support a member of the SLT – EVP, Chief Communications Officer.
The Executive Assistant is responsible for providing high-level administrative support to the EVP, Chief Communications Officer. This position plays a critical role in ensuring the smooth management of daily operations, supporting strategic initiatives, and facilitating effective work-life integration for the executive. Success in this role requires outstanding organizational abilities, proactive problem-solving skills, and the capacity to manage complex schedules and priorities within a fast-paced and dynamic environment.
WHAT YOU BRING TO NIKE:
- Bachelor's degree in business or related field. Will accept any suitable combination of education, experience and training
- Minimum of 10 years of administrative work experience required
- At least 5 years of experience supporting a VP or higher-level executive within a matrixed corporate environment
- Excellent verbal & written communication skills
- Strong reading, writing, math and communication skills
- Proven experience and success working with a variety of high-profile stakeholders (examples: Executive leadership team members or Nike sponsored athletes and collaborators, etc.)
- Ability to work independently as a self-starter and as part of a team making connections in and across teams as you go.
- Exceptional attention to detail and problem-solving skills.
- Ability to thrive in a fast-paced environment and adapt to changing priorities.
- Comfort working through ambiguity.
- Previous experience with event planning. Experience with budget creation/management and planning proposals preferred.
- Proficient in Microsoft Office Suite (MS Outlook, PowerPoint, Word and Excel) and virtual meeting tools (Zoom / MS Teams). Experience with Keynote a plus, not required. Experience with AI tools like Chat GPT or Microsoft Copilot a plus, not required.
- Exercise discretion and independent judgement when handling confidential and sensitive information. Prior experience handling sensitive and confidential information is preferred.
- Ability to occasionally work outside of core business hours
- Previous Nike work experience is strongly preferred
Key Responsibilities
1. Calendar & Meeting Management
- Maintain full command of the executive’s calendar, ensuring all meetings are kept up to date, and that agendas and pre-read materials are uploaded well in advance of each meeting.
- Proactively identify and schedule additional meetings, such as one-on-ones and informal team interactions (including coffee chats), to encourage collaboration and communication among team members, with a goal of each teammate having a meeting once per year.
- Ensure the appropriate teammates are invited to meetings, that they receive all necessary information, and that they have the required level of access to resources and communications relevant to the meetings.
2. Market & Business Travel Coordination
- Manage all aspects of market and business travel, including coordinating with team members in advance to maximize productivity during trips.
- Develop and communicate clear itineraries that balance one-on-ones, skip-level meetings, team connection time, market exploration, team learning, exercise, and focused work.
- Establish connections with team members prior to trips to ensure time on the ground is used effectively and to provide direction for market visits.
3. Work-Life Integration Support
- Proactively assist the executive in integrating personal and professional commitments - ensuring that important family, school, personal and holiday events are reserved in the calendar well in advance.
- Support the executive via calendar management to help them maintain a healthy work-life integration – this may include reviewing logistics & timing, scheduling breaks, etc.
4. Email & Communication Management
- Effectively manage the executive’s email inbox using the established system to ensure timely responses and prioritization of critical communications.
- Maintain a high level of confidentiality, discretion, and accuracy in all communications at all times.
5. Strategic Event Planning
- Work closely with the Communications Leadership Team to create, develop, and plan leadership offsites, planning meetings, and talent sessions two to three times per year.
- Coordinate all logistics, agendas, and follow-up actions for strategic events to ensure successful outcomes.
6. Expense & PTO Administration
- Oversee expense reporting and facilitate paid time off (PTO) approval processes efficiently and accurately.
- Ensure compliance with company policies and that all administrative tasks are processed in a timely manner.
