HOW WILL YOU MAKE AN IMPACT

As the Executive Assistant, you will support Cartier KSA Executive Committee, enabling them to make the best use of their time by effectively managing executive and administrative support activities.

In this capacity, you may also support other projects and activities.

As an integral member the Cartier KSA team, you will be responsible for the following:

Organisation, Planning & Scheduling

• Manage senior leaders' calendars and schedule appointments, including meetings and related logistics.
• Organize and coordinate business travel.
• Organize and coordinate market visits for Cartier Regional and HQ visitors, ensuring that guests receive a professional welcome.
• Schedule Regional Governance and Market Committee. meetings, as well as boutique visits and quarterly reviews.

People Coordination

• Facilitate communication among senior leaders and with other departments locally, at HQ, and in other markets.
• Prepare internal communications and memos.
• Support key events, such as year-end celebrations and Iftar, by ensuring seamless coordination and execution.
• Anticipate and identify, from the outset, the key individuals who should be involved in meetings.
• Organize team meetings and team-building activities in coordination with the L&T Department.

Administrative Support

• Screen incoming calls and correspondence and respond independently when appropriate.
• Act as the custodian of corporate documents and records.
• Take dictation and prepare confidential correspondence, reports, and other documents as needed.
• Perform confidential duties and related special projects with a high degree of discretion and sound judgment.
• Manage a high volume of sensitive and confidential information and materials.
• Prepare and dispatch courier shipments and other necessary mail.
• Manage petty cash.
• Submit expense reports on time.
• Review and validate the team's expense reports in Concur for compliance.
• Streamline the gifting process, from selection through delivery, in line with internal policies.

Internal Communications

• Participate in the broader Executive Assistant community at regional and international levels.
• Ensure the efficient distribution of information.
• Ensure our internal communications are timely and effective.

Project Management

• Manage special and regional projects under the direction of the KSA Executive Committee, such as internal and corporate events.

• 8-10 years of professional experience as an Executive Assistant within an international organization, together with a bachelor’s degree in business administration or an equivalent qualification.
• A professional attitude, integrity, and a high level of discretion are essential, along with the ability to communicate appropriately at all levels.
• Highly flexible and organized, with the ability to handle last-minute changes and requests and to multitask effectively.
• Task-focused, with the ability to meet tight deadlines and prioritize according to business needs.
• Strong ability to anticipate needs.
• Flexible and resourceful, with strong problem-solving skills.
• Strong attention to detail and adherence to procedures.
• Strong customer and service focus, solution oriented.
• Excellent communication and interpersonal skills, with a dynamic and approachable style and the ability to interact and collaborate effectively with diverse stakeholders and teams.
• Excellent PowerPoint presentation skills with strong attention to detail.
• Ability to navigate in complex international environments.
• Fluency in spoken and written English is required; Arabic and any additional languages are an advantage.
