As Executive Assistant, you will support the Head of Building Products and the Head of Finance, Building Products Building Products is a global unit within Siemens Smart Infrastructure Buildings focused on developing innovative building technologies, software, and digital solutions that help customers create more sustainable, efficient, and intelligent buildings.

In this highly visible role, you will serve as a trusted partner to both leaders and play an important part in ensuring the smooth day-to-day operation of the organization. You will work closely with colleagues and business partners across functions and geographies, helping to coordinate priorities, facilitate communication, and support key business activities in a dynamic international environment.

Your new responsibilities

  • Provide proactive high-level administrative and organizational support to the Head of Building Products and the Head of Finance, Building Products, in a dynamic international environment
  • Act as a trusted point of contact and facilitate effective communication and information flow between the Head of Building Products, Head of Finance, Chief of Staff, leadership team, assistant network, and other key stakeholders
  • Help protect leadership focus and effectiveness by proactively anticipating calendar conflicts, highlighting priority clashes, and ensuring adequate preparation time for critical discussions and decision-making forums
  • Handle confidential correspondence and communications in English and German with the highest level of professionalism and discretion
  • Manage complex agendas, leadership meetings, and priorities across multiple time zones. Ensure agendas, pre-reads, materials, and participant lists are collected, coordinated, and distributed on time, in close collaboration with the Chief of Staff and topic owners
  • Maintain action trackers, decision logs, and follow-up overviews for key meetings, ensuring visibility of owners, commitments, and deadlines
  • Organize town halls, workshops, customer visits, and offsites, including scheduling and preparation of meeting materials
  • Coordinate domestic and international business travel, including arrangements and logistics
  • Support onboarding and recruitment activities, including interview scheduling and candidate coordination in collaboration with hiring managers and internal business partners
  • Drive continuous improvement of administrative processes, document management, and overall ways of working to enhance efficiency and effectiveness

Your skills and experience

  • Several years of experience as an Executive Assistant or in a comparable role supporting senior leaders, preferably in an international environment
  • Experience managing complex schedules, leadership meetings, travel arrangements, and executive-level administrative processes
  • Strong organizational, planning, and coordination skills with exceptional attention to detail
  • High level of professionalism, discretion, reliability, and service orientation
  • Ability to work independently, proactively, and in a structured manner while managing multiple priorities and deadlines simultaneously
  • Strong collaboration and interpersonal skills, with the ability to build effective working relationships across functions and organizational levels
  • Excellent communication skills and fluency in English and German, both written and spoken
  • Confident use of digital tools and workflows, particularly within the MS365 environment
  • Start date upon agreement

Location this role will be based in Zug/Switzerland. Please note that qualified candidates need to be legally eligible for work authorization in Switzerland
