Job Description

Our client, a privately-held investment firm in lower Midtown is looking for an Executive Assistant to provide support to 3 executives on one of their core teams.  This person should be well versed in scheduling meetings across various time zones, planning travel and helping with meeting prep and CRM updates.  Confidentiality, ability to multitask and a strong work ethic are imperative to succeed in this role.  

RESPONSIBILITIES
  • Provide comprehensive administrative support to 3 executives 
  • Conduct advanced gatekeeping; independently prioritize and track meeting/call requests and reroute as necessary
  • Manage constantly changing executives calendar, including detailed planning of meetings, conference calls and personal matters across multiple time zones
  • Coordinate frequent international and domestic travel
  • Liaise between other Departments and Teams
  • Process complex monthly expense reports
  • Update and maintain contacts and deliverables in Salesforce 
  • Help coordinate client events/dinners including
  • Work on specific team projects as needed

QUALIFICATIONS
  • 5+ years of experience as an Administrative Assistant supporting multiple executives and/or senior team members
  • Superior communication skills, unquestioned integrity, and the experience, confidence and presence to work directly with Partners and portfolio/prospect companies
  • Strong time management skills; ability to handle multiple concurrent assignments with a high degree of accuracy and meet deadlines in a high-pressure environment
  • Positive attitude, no task too big or too small
  • Desire and capability to work as a team player
  • Highly motivated, self-driven, solution and detail-oriented
  • Able to work well in an ever-changing environment
  • Outlook proficiency is a must
  • Experience with Salesforce is a plus 
HOURS

9am-6pm w/flexibility to be reachable after hours 

SALARY

$120-140K base + Bonus + Excellent benefits/perks! 

4 days/week in office
