Executive Assistant

We are currently looking for a highly organized, proactive, and professional Executive Assistant to support our Finance Director and play a key role in the smooth operation of our Corporate Finance Services organization in the Netherlands.

This is much more than a traditional administrative role. As a trusted partner to the Finance Director, you will be at the center of executive coordination, governance activities, compliance processes, stakeholder management, and business operations across a complex organization supporting more than 2,300 employees and multiple legal entities throughout the Netherlands.

Location: Hoofddorp, Netherlands. This is an office-based role.

About the Role

The Executive Assistant provides comprehensive executive, administrative, and organizational support to the Finance Director, ensuring effective day-to-day operations, seamless coordination of key business activities, and successful follow-up of important decisions and actions. You will work closely with senior leaders, management teams, compliance committees, works councils, and external stakeholders while helping drive efficiency and operational excellence throughout the Finance organization.

Key Responsibilities

• Provide proactive administrative and organizational support to the Finance Director, including calendar management, travel arrangements, meeting coordination, and handling confidential correspondence.
• Organize leadership meetings, board meetings, compliance committees, and other key business forums, including preparing agendas, presentations, and meeting minutes.
• Track actions, deadlines, and priorities to ensure effective follow-up and execution across the organization.
• Coordinate projects, events, and employee engagement initiatives while supporting continuous process improvements.
• Act as a key point of contact for internal and external stakeholders, fostering strong relationships across the business.
• Support governance, compliance, document management, and communication activities, including SharePoint administration and maintaining accurate records.
• Assist with operational and administrative processes such as purchase orders, vendor coordination, and other day-to-day business support activities.

What You'll Bring

Qualifications & Experience

• Bachelor's degree (or equivalent working and thinking level).
• At least 5 years of experience in an Executive Assistant, Personal Assistant, or senior administrative support role.
• Strong proficiency in Microsoft Office and modern digital collaboration tools, including SharePoint.
• Excellent verbal and written communication skills in both Dutch and English.
• Experience supporting senior leaders in a fast-paced, international environment is highly preferred.
