The Opportunity

Trane Technologies is seeking a high-performing, proactive Executive Assistant to support our Digital Leadership Team from our facility in White Bear Lake, MN.

Our Digital organization drives software innovation, IoT climate technologies, advanced building analytics, and digital customer solutions across the globe. In this role, you will serve as a strategic operational partner and administrative anchor for senior Digital leaders stationed across the United States. You will bring calm to complexity—orchestrating multi-time-zone schedules, facilitating nationwide leadership summits, managing travel, and enabling executive leaders to focus on high-impact strategic initiatives.

If you are an experienced administrative professional who thrives in an agile, technology-driven culture and takes pride in seamless operational execution, we want to hear from you.

What You Will Do

In this role, you will manage day-to-day administrative operations and executive workflow for senior Digital leaders across the United States:

Strategic Executive Calendar & Schedule Management

  • Proactively manage dynamic, complex executive calendars across multiple US time zones (Central, Eastern, Mountain, and Pacific), prioritizing critical engagements and resolving scheduling bottlenecks.
  • Coordinate executive cadences, leadership reviews, and operational syncs, ensuring agendas, pre-reads, and presentation materials are delivered in advance.

Travel & Event Coordination

  • Plan and orchestrate end-to-end domestic travel logistics—including flights, accommodations, ground transportation, and meeting facilities—while accommodating executive preferences.
  • Lead the planning, AV/technology setup, catering, and on-site logistics for Digital Leadership Team meetings, Quarterly Business Reviews (QBRs), and strategic offsites.
  • Coordinate digital team town halls and global all-hands sessions in partnership with internal communications and AV support teams.

Operational Enablement & Communications

  • Prepare, format, and review executive presentations, organizational communications, and team announcements using Microsoft PowerPoint, SharePoint, and Teams.
  • Track action items from executive leadership meetings, following up across cross-functional teams to ensure milestones are met on schedule.
  • Manage digital distribution lists, centralized SharePoint document libraries, and digital collaboration spaces.

Financial & Procurement Administration

  • Reconcile travel expenses and corporate purchasing card (P-Card) accounts via Concur, ensuring accuracy and strict adherence to corporate policies.
  • Initiate and monitor purchase orders (POs), statements of work (SOWs), and vendor invoices, serving as the administrative point of contact for external suppliers and partners.

What You Will Bring

Minimum Qualifications:

  • Experience: Minimum of 7 years of executive administrative support experience partnering with senior executives, corporate leaders, or distributed leadership teams.
  • Technology Acumen: Advanced proficiency across the Microsoft 365 suite (Outlook, Teams, PowerPoint, Excel, Word, SharePoint, and OneDrive).
  • Distributed Support: Demonstrated success supporting leaders across multiple geographic locations and time zones.
  • Confidentiality & Discretion: Proven ability to handle sensitive strategic, organizational, and business information with the highest degree of integrity and discretion.
  • Location Presence: Ability to work on-site at our White Bear Lake, MN campus Monday through Thursday, with Friday flexibility.

Preferred Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Prior background supporting leaders in a Digital, Software Engineering, IT, or Enterprise Technology environment.
  • Working familiarity with enterprise platforms such as Concur (Expense/Travel), Workday, Coupa, or similar workflow management tools.
  • Strong event management skills, with experience organizing multi-day executive summits and hybrid digital town halls
