  • Manage incoming requests, communications, and sensitive information; raise urgent issues quickly and respond on the COO's behalf with judgment and discretion
  • Prepare the COO for operating meetings, executive and Board discussions, and external engagements with agendas, briefings, presentations, and correspondence; capture decisions and follow through
  • Coordinate with the CEO's Senior Executive Assistant and the executive team on shared meetings and priorities
  • Serve as a trusted point of contact for leaders, teams, and external contacts
  • Manage logistics for domestic and international travel, offsites, leadership gatherings, and external visits
  • Handle delegated approvals, expenses, and recurring administrative processes accurately
  • Own select priority projects and use technology to improve the COO office's systems and working practices

Qualifications

  • Bachelor's degree and 10+ years supporting C-suite executives in complex, fast-moving organizations

Required Skills

  • Strong interpersonal skills across leadership levels, teams, and external relationships
  • Advanced Microsoft 365 (PowerPoint, Word, Excel) and proficiency in Google Workspace

Preferred Skills

  • Experience supporting cross-functional projects, leadership offsites, or company-wide initiatives
  • Experience in a complex, regulated, or government-facing environment
