Job Category: Admin - Clerical, Executive Assistant | Bad Homburg, Germany | Full-Time | On-Site

Fieldpiece is a global leader in professional HVACR tools and test instruments, trusted by technicians around the world. As we continue to grow our presence across EMEA, we’re looking for an experienced Executive Assistant to support our General Manager and regional leadership team from our new office in Bad Homburg.

This is more than a traditional administrative role. You’ll be a trusted partner to our General Manager, helping manage priorities, coordinate across the business, drive projects forward, and keep our EMEA operations running smoothly.

Why This Role?

You’ll work closely with senior leaders and have visibility across many areas of our EMEA business. One day you may be coordinating executive priorities and international travel; the next, you could be managing a business project, improving a process, supporting our distributor journey, or solving an operational challenge.

If you’re highly organized, proactive, comfortable working independently, and the kind of person who sees what needs to be done before being asked, this is an opportunity to make a meaningful impact in a growing international organization. This is a full-time, on-site position.

What You’ll Do

Executive & Administrative Support

  • Manage the General Manager’s calendar, meetings, appointments, and travel arrangements.
  • Coordinate leadership meetings, off-sites, events, logistics, agendas, and follow-up activities.
  • Prepare and edit presentations, reports, correspondence, and other executive materials.
  • Help prioritize communications and ensure important actions receive timely follow-through.
  • Serve as a trusted point of contact for internal and external stakeholders.

Projects & Business Support

  • Manage special projects and initiatives on behalf of the General Manager, taking ownership from planning through completion.
  • Conduct research and gather information to support business decisions.
  • Help improve processes and systems that make the EMEA organization more efficient.
  • Coordinate across functions to keep priorities, deliverables, and stakeholders aligned.
  • Support business initiatives such as CRM data quality and maintenance, Net Promoter Score (NPS) processes and reporting, and the distributor journey.
  • Anticipate challenges, identify solutions, and proactively keep work moving forward.

Office & Operational Support

  • Oversee the day-to-day needs of our Bad Homburg office, including vendors, repairs, supplies, mail, and deliveries.
  • Manage office-related budgets, expenses, and documentation.
  • Prepare and process expense reports and other administrative documentation.
  • Help create an organized, professional, and welcoming office environment.

Qualifications

  • 5+ years of experience as an Executive Assistant or similar role supporting senior executives.
  • Exceptional organizational skills with the ability to manage multiple priorities and follow through.
  • Strong project management skills and the ability to take ownership of initiatives from start to finish.
  • Excellent written and verbal communication skills with a high level of professionalism, discretion, and confidentiality.
  • You take a proactive, resourceful approach - you look for solutions rather than waiting for directions.
  • Proficiency with Microsoft Office, including Outlook, Excel, PowerPoint, and Word.
  • Strong problem-solving skills and the judgment to work independently.
  • Ability to adapt quickly when priorities change or unexpected needs arise.
  • Strong interpersonal skills and the ability to work effectively across teams, functions, and cultures.
  • Flexibility to occasionally support urgent business needs outside normal working hours.
  • Bachelor’s degree is strongly preferred.

What Success Looks Like

You bring structure to a fast-moving environment. You stay ahead of priorities, follow through on commitments, and make it easier for leaders and teams to focus on the work that matters most. You’re comfortable shifting between executive support, project coordination, business operations, and office management—and you approach each with the same level of ownership and professionalism.

Why You'll Enjoy Working at Fieldpiece

  • As a privately held company, we invest for the long term—in our people, our products, and our future. That means we can focus on innovation, continuous improvement, and building lasting careers rather than chasing short-term results.
  • Make a meaningful impact with a company where your ideas are heard, your expertise is valued, and your contributions help shape the future of our products and business
