Job Description

As we continue to transform and grow, we're looking for a highly capable Executive Assistant to provide exceptional support to senior leaders and help drive organisational effectiveness.

What You'll Do

Partnering closely with multiple senior leaders and key stakeholders across Optus, you will be responsible for:

  • Providing high-level administrative and operational support to senior leadership team members, ensuring priorities are managed effectively.
  • Managing complex diaries, coordinating internal and external meetings, and arranging meeting rooms, catering, agendas, and supporting materials.
  • Supporting email management by prioritising communications, monitoring actions and ensuring timely responses to key requests.
  • Coordinating domestic and international travel, accommodation, itineraries and approvals in line with company policies.
  • Managing expense claims and administrative processes, ensuring compliance with relevant policies and deadlines.
  • Building strong relationships across Optus and with external stakeholders to facilitate effective collaboration and communication.
  • Producing high-quality presentations, reports, meeting papers and business documentation with accuracy and attention to detail.
  • Supporting team operations through activities such as event coordination, onboarding, organisational chart maintenance, purchase order administration, compliance tracking and broader team administration.
  • Acting as a trusted partner to leaders by proactively anticipating needs, identifying priorities and ensuring actions are completed in a timely manner.

What You'll Bring

  • Significant experience supporting senior executives in a fast-paced corporate environment.
  • Exceptional organisational skills with the ability to manage competing priorities and deadlines.
  • Highly developed interpersonal, verbal and written communication skills.
  • Strong attention to detail and a commitment to delivering high-quality work.
  • Proven ability to maintain discretion and handle confidential information with professionalism.
  • Advanced Microsoft Office skills, including Word, PowerPoint, Excel and Outlook.
  • A proactive mindset with strong problem-solving capabilities and the ability to work independently.
  • Flexibility, resilience and the ability to thrive in an environment of constant change.
  • A collaborative approach and proven ability to build trusted relationships across all levels of an organisation.
