Role Overview

We are seeking a polished, highly capable Executive Assistant to serve as the right-hand partner to our founder within a highly regulated financial services environment (FINRA, SEC). This is not a traditional support role. You will be a trusted extension of leadership, managing complex priorities, interacting directly with ultra-high-net-worth clients, and helping drive the business forward. For the right person, this position offers a clear growth path into a Chief of Staff role. What You'll Do

• Act as the founder's primary point of contact and right-hand partner, anticipating needs and proactively managing priorities, schedules, and commitments.
• Represent the company in client-facing interactions with ultra-high-net-worth individuals and families, delivering a discreet, white-glove experience at every touchpoint.
• Manage complex calendars, travel, meetings, and correspondence with precision and confidentiality.
• Oversee client and business account management, keeping records accurate and up to date in Salesforce.
• Prepare polished presentations, reports, briefing materials, and documents using Microsoft Office.
• Support compliance-conscious workflows, ensuring documentation and communications meet the standards of a regulated financial environment.
• Coordinate cross-functional projects and follow through on action items to keep leadership initiatives on track.
• Handle sensitive and confidential information with the highest level of integrity and judgment.
• Take on increasing strategic responsibility over time, supporting operations, planning, and decision-making in preparation for a Chief of Staff role.

Required Qualifications

• Executive Assistant experience within a reputable finance, legal, or private equity firm is required.
• Proven ability to quantify and substantiate your accomplishments with concrete examples and measurable outcomes.
• Strong executive presence and a polished, professional demeanor suited to engaging with high-net-worth clients.
• Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
• Hands-on experience with Salesforce and business account management.
• Exceptional written and verbal communication skills.
• Demonstrated discretion in handling confidential and sensitive information.
• Highly organized, detail-oriented, and able to manage competing priorities in a fast-paced environment.
• Ability to work on-site in Boca Raton, FL four days per week, with the opportunity to move toward a hybrid schedule over time.

Nice to Have

• Experience supporting leadership in a FINRA- or SEC-regulated environment.
• Background in wealth management, family office, or private client services.
• Exposure to Chief of Staff, operations, or project management responsibilities.
• Familiarity with compliance processes and regulatory documentation.
