Job Description

Position Summary

GFL Environmental Services is seeking a proactive, highly organized, and strategic Executive Assistant to provide high-level support to our Senior Leadership team. In this role, you will serve as a primary operational partner and extension of our executive leaders, ensuring optimal time management, seamless daily operations, and clear communication across internal and external stakeholders. The ideal candidate thrives in a fast-paced environment, possesses exceptional communication skills, and exercises impeccable discretion.

Specific Duties and Responsibilities

  • Manage and optimize calendars, strategically prioritizing requests and resolving scheduling conflicts.
  • Draft, edit, and proofread executive-level communications, presentations, and reports.
  • Coordinate end-to-end travel logistics, including itineraries, accommodation, and expense reporting.
  • Prepare and create relevant materials (i.e. documents, reports, presentations).
  • Act as the primary gatekeeper and bridge for smooth communication with internal and external partners.
  • Organize key meetings, offsites, and events, including agenda preparation, minute-taking, and action-item tracking.
  • Handle sensitive and confidential company information with strict professionalism and privacy.
  • Perform a broad variety of administrative and project management tasks.
  • Other duties as assigned.

Experience and Qualifications

  • 5+ years of administrative support experience, with at least 2–3 years supporting senior or C-suite executives.
  • Excellent computer skills and proficiency in Google Workspace and travel/expense management software systems.
  • Familiarity with basic financial workflows (budget tracking, expenses, invoicing).
  • Prior experience in the environmental or oil and gas industry is considered an asset

  • Strategic time management and schedule prioritization.
  • Strong problem-solving abilities, resourcefulness, and composure in high-pressure situations.

  • Meticulous attention to detail.
