Job Description

The Executive Assistant is dynamic and personable professional with a proven track record providing top notch support. The primary goal is to greet and welcome guests providing a warm and welcoming experience. The role also provides administrative support to various team members.

Essential Duties and Responsibilities:

• Overseeing all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence.
• Preparing documents, e.g. meeting agendas, invoices, etc.
• Filing important documents, such as reports, meeting notes, emails, and letters.
• Keeping the executive’s calendar up-to-date, including adding events, rescheduling appointments and providing daily briefings.
• Arranging travel, and keeping track of travel itineraries for executives and their teams.
• Preparing and submitting monthly expenses in Concur.
• Acting as the gatekeeper for internal and external contacts, including vendors, colleagues, clients, and customers.
• Conducting research and creating reports on various topics based on the needs of the executive.
• Planning and organizing events that take place in the office or externally, such as fundraisers, sporting tournaments, and social events.
• Keeping important information and documents organized physically, and electronically.
• Maintaining a high degree of discretion and confidentiality.
