The role

The Executive Assistant serves as the central point of coordination for executive leadership, supporting the CEO, CDO, and General Manager across calendars, communications, meetings, projects, and day-to-day administration.

This is a role for someone who is exceptionally organized, professional, discreet, and driven. You will often be the first person someone speaks to when they contact the executive team, so you need to know how to communicate professionally, prioritize what matters, and anticipate what leadership will need before they ask.

You will also be the face of the corporate office — keeping the office organized, welcoming visitors, managing incoming communications, and making sure important tasks do not get lost.

Where you sit

You sit within the Executive team and work directly with the CEO, CDO, and General Manager.

This is an on-site role, Monday through Friday, 8 AM–5 PM CST. You will balance executive support with office administration, communication management, and special projects.

What you'll own

  • Manage calendars, meetings, appointments, and events for the CEO, CDO, and General Manager.
  • Manage incoming calls, emails, voicemails, and messages, prioritizing urgent and time-sensitive communications.
  • Draft, proofread, and send professional communications on behalf of executive leadership when authorized.
  • Track action items, deadlines, and follow-ups to make sure commitments are completed.
  • Coordinate travel arrangements, itineraries, accommodations, and executive logistics.
  • Support meetings and projects by preparing materials, taking notes, organizing information, and tracking next steps.
  • Maintain a professional, organized corporate office and serve as the first point of contact for owners, vendors, clients, applicants, and visitors.
  • Support executive leadership with research, reports, presentations, administrative tasks, and confidential projects.

What you bring

  • 2+ years of experience in an Executive Assistant, Administrative Assistant, Office Manager, or similar role.
  • Exceptional organization and attention to detail.
  • Strong written and verbal communication skills.
  • Professional and confident phone and email communication.
  • Ability to handle confidential information with discretion.
  • Strong follow-through and the ability to manage multiple priorities without losing track of details.
  • Proactive mindset — you anticipate needs rather than waiting to be told what to do.
  • Comfortable working directly with senior leadership and handling changing priorities.
  • Strong computer skills and comfort learning new tools quickly.
  • Experience with Google Workspace and AI tools.

Compensation & Benefits

  • $40,000–$45,000/year, depending on experience.
  • Performance-based bonus/commission.
