The Natural History Museums of Los Angeles County (NHMLAC) include the Natural History Museum in Exposition Park and La Brea Tar Pits in Hancock Park. The NHMLAC is seeking an Executive Assistant for our Advancement department. The Executive Assistantprovides project management assistance and advanced administrative support to a division head.

Responsibilities for this position include, but are not limited to:

  • Provides general support including scheduling, meeting logistics, preparation and distribution of materials for any committees of the Board of Trustees, if any for which the division head is the primary staff support.
  • Gather data for general information purposes or special reports, contacting other departments, employees and external parties for needed information and drafts reports as requested.
  • Enters information into divisional databases as needed. Unless otherwise assigned in the division, serves as a liaison to Information Technology for any repairs and software updates needed within the division.
  • Creates and maintains physical and data files for supervisor and as appropriate, the division.
  • Unless otherwise assigned within the division, maintains inventory for general office supplies for division and handles all orders when needed.
  • Provides high level administrative support to a division head including communication processing, written communication, appointment scheduling, expense tracking and reimbursements for the CAO, filing and ordering of supplies.

This position has the following requirements:

  • Strong communication skills. Must be outgoing and personable with the ability to interact effectively with Museum staff, volunteers, members and visitors.
  • Must be extremely organized and able to work under pressure and within tight deadlines, must be able to work efficiently and manage multiple projects at once, which may be at different stages of design and execution. Has the ability to effectively manage extensive columns of material in a systematic fashion.
  • Must possess the highest levels of intellectual, interpersonal and customer services skills in order to perform with diplomacy, tact and confidentiality required to work with the President/Director, Board of Trustees and other political, corporation and philanthropic leaders.
  • Bachelor’s degree in a related field preferred.
  • Minimum of three years of secretarial experience.

The hourly range for this position is $30.00 - $32.00 with excellent benefits. This is a full-time temporary, non-exempt position.
