We are seeking a highly organized and professional Executive Assistant to join our team in Salem, United States. In this role, you will provide comprehensive administrative and organizational support to senior executives, ensuring smooth operations and enabling leadership to focus on strategic initiatives. The ideal candidate will demonstrate exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced corporate environment while maintaining the highest standards of confidentiality and professionalism.
- Manage executive calendars, schedule meetings, and coordinate appointments with internal and external stakeholders
- Prepare meeting agendas, materials, and minutes; ensure follow-up on action items and deliverables
- Handle executive correspondence, emails, and communications with professionalism and discretion
- Coordinate travel arrangements, including flights, accommodations, and ground transportation
- Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of documents
- Prepare presentations, reports, and other business documents using appropriate software and formatting standards
- Track and manage projects, deadlines, and deliverables on behalf of executive leadership
- Serve as a liaison between executives and internal/external contacts, managing relationships professionally
- Perform general administrative duties including expense reporting, invoicing, and record-keeping
- Anticipate executive needs and proactively address potential issues before they arise
Qualifications
- 5+ years of experience in an executive assistant, administrative assistant, or similar support role
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management software
- Excellent organizational and time management skills with the ability to prioritize multiple tasks effectively
- Strong written and verbal communication skills with professional presentation abilities
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
- Exceptional attention to detail and accuracy in all work products
- Proficiency in scheduling and email management systems
- Ability to work independently and as part of a collaborative team
- Problem-solving skills and the ability to adapt to changing priorities
- Professional demeanor and strong interpersonal skills
**Preferred Skills:**
- Experience with project management tools or software
- Familiarity with Customer Relationship Management (CRM) systems
- Knowledge of presentation software beyond basic PowerPoint
- Experience coordinating large-scale events or meetings
- Multilingual capabilities
