We are seeking a proactive, highly organized, and efficient Executive Assistant to support multiple senior executives in a fast-paced environment. The ideal candidate will have a proven track record of managing competing priorities, handling sensitive information with discretion, and facilitating smooth operations across various administrative functions. What you’ll do:
• Provide high-level administrative support to multiple executives, including calendar management, meeting coordination, and travel arrangements
• Efficiently manage complex calendars, schedule meetings, and coordinate events, ensuring minimal conflicts and maximum use of time
• Arrange travel logistics, including flights, accommodations, and ground transportation, preparing detailed itineraries and ensuring travel runs smoothly
• Act as the first point of contact for internal and external stakeholders, including responding to emails, phone calls, and requests on behalf of executives
• Draft, edit, and proofread correspondence, presentations, reports, and other documents, ensuring timely delivery of materials
• Coordinate logistics for meetings, including setting up conference calls, video conferencing, catering, and managing venue arrangements
• Assist with various projects by tracking deadlines, gathering resources, and coordinating follow-up actions to ensure project milestones are met
• Handle sensitive and confidential information with professionalism and integrity, ensuring executives are well-prepared for strategic decision-making
• Anticipate needs and solve problems proactively to ensure the smooth day-to-day operations
What you’ll bring:
• 5+ years of executive assistant experience, preferably supporting multiple executives or senior leaders in a fast-paced or corporate environment.
• Exceptional multitasking, organizational and time-management skills with the ability to manage competing priorities and deadlines
• Strong verbal and written communication skills
• High level of professionalism and discretion in handling confidential information
• Proficiency in MS Office Suite and collaboration tools (e.g., Teams, Slack)
• Comfortability adjusting to changing priorities and embracing challenges with a positive attitude
• Excellent relationship building skills, with the ability to interact with stakeholders at all levels
