Primary Duties and
Responsibilities:
The Executive Assistant (EA) is integral to the effective work of the offices of the Executive Vice President for Global Strategy and Programs (EVP). Central to this position is the adept handling of scheduling and calendar management for the EVP. The EA will also provide robust support in the administration of strategic initiatives and transformation projects. The ideal candidate will have a talent for multitasking, exceptional organizational skills, and a proactive approach to problem-solving. This role demands a high level of discretion, effective communication skills, and the ability to navigate a dynamic, fast-paced executive environment.
Duties/Responsibilities:
- Manage and coordinate the schedule and calendar for the Executive Vice President for Global Strategy & Programs. This includes helping prioritize appointments and meetings, and ensuring efficient time management.
- Assist in the administrative aspects, coordination and budget oversight of initiatives underway in Belmont Global (Global Honors, Global Health Innovation, Global Missions, Global Engagement, Study Abroad, Belmont USA, International Student and Scholar Services, Global Partnership & Initiatives). This includes preparation of documents, communications, and coordination of related activities.
- Organize, prepare, and provide support for meetings. Responsibilities include arranging logistics (booking rooms, catering, etc.), preparing agendas, taking and distributing minutes when needed, and ensuring effective follow-up.
- Serve as a key point of contact between the executives and other offices or individuals. This involves facilitating communication, managing inquiries, and ensuring seamless interaction across various departments and external entities.
- Performe general administrative tasks such as handling telephone communications, greeting and directing visitors, and managing office supplies.

- A bachelor's degree, or applicable work experience, is required.
- A minimum of 1 -3 years of relevant office experience is required. A minimum of 4 - 6 years of relevant office experience is preferred.
- Experience working in a fast-paced environment and the ability to respond to high-pressure situations.
- An ability to thrive in an environment of hard work.
- An ability to work effectively with a wide range of constituencies in a diverse community.
- An ability to manage multiple projects at one time.
- Proficiency in all Microsoft Suite products.
Required EducationAssociate’s degree required, Bachelor’s degree preferred.
Required Experience3-5 years previous work in a professional office environment required with discretionary decision making. Experience in event coordination strongly desired.
