The Executive Assistant is responsible for providing administrative and operational support to ensure the efficient day-to-day functioning of the office, leadership team, and business operations. The role coordinates administrative processes, manages documentation, supports meetings and events including logistics, handles travel and expense administration, data reporting and serves as a key liaison between internal stakeholders and external partners to enhance organizational effectiveness and employee experience.
1. Administrative Support
• Manage calendars, meetings, travel arrangements, and expense claims for key leader.
• Prepare correspondence, reports, presentations, and meeting materials as required.
• Coordinate internal and external communications efficiently.
2. Meeting & Event Coordination
• Organize meetings, workshops, town halls, and business events.
• Coordinate logistics, venue arrangements and communication with participants.
• Prepare meeting agendas, minutes, and follow-up actions.
3. Financial & Procurement Administration
• Process purchase requisitions, purchase orders, invoices, and vendor payments.
• Monitor administrative budgets and expenses.
4. Stakeholder Coordination
• Act as a key point of contact for employees, leaders, vendors, and external partners.
• Coordinate administrative support across functions and sites to ensure efficient operations.
5. Reporting and Data Management
• Prepare, consolidate and analyze routine and ad hoc reports to support business and operational needs
• Coordinate with stakeholders to gather, validate and compile information for management reporting and presentations.
6. Other duties as assigned
MINIMUM QUALIFICATIONS
• Bachelor’s degree in a related field or equivalent experience
• Minimum three years of directly related work experience
• Other minimum qualifications may apply
PREFERRED QUALIFICATIONS
• At least 1 year of supervisory experience
