We are seeking a highly organized, proactive, and service-oriented Executive Assistant to provide comprehensive support to a senior leader and their leadership team. In this role, you will serve as a trusted partner, managing complex calendars, coordinating travel and site visits, supporting executive communications, and ensuring day-to-day operations run smoothly. Success in this position requires exceptional attention to detail, strong relationship-building skills, sound judgment, and the ability to anticipate needs in a dynamic and fast-paced environment.

Minimum Requirements:

  • 5+ years of experience supporting senior leaders in an executive or administrative assistant capacity

  • Post-secondary education in Business Administration, Office Administration, or a related discipline, or an equivalent combination of education and experience

  • Demonstrated experience managing complex calendars, coordinating meetings, and arranging travel across multiple locations

  • Strong written and verbal communication skills, with experience preparing executive correspondence, presentations, and organizational communications

  • Proficiency with Microsoft Office Suite, including Outlook, PowerPoint, Excel, Word, and Teams

  • Exceptional organizational, prioritization, and stakeholder management skills, with the ability to handle confidential information with discretion and professionalism

Responsibilities:

  • Manage a complex executive calendar, including meetings, priorities, travel, and scheduling adjustments

  • Coordinate meetings and events, including logistics, agendas, pre-read materials, and follow-up actions

  • Prepare, proofread, and distribute executive communications, presentations, and organizational announcements

  • Arrange and coordinate travel plans and site visits, ensuring stakeholder meetings and key activities are scheduled effectively

  • Build and maintain strong working relationships with leaders and stakeholders across the organization

  • Process expense reports, support expense approvals, and maintain related administrative records

  • Provide day-to-day office and operational support, helping to improve organization, efficiency, and team effectiveness

  • Maintain headcount tracking, support reporting activities, and assist with data accuracy and KPI updates

  • Respond to urgent requests, special projects, and emerging business needs with professionalism and sound judgment

Location and other Key Details:

  • You will work out of our Calgary head office, located in the Suncor Energy Centre at 150 – 6th Ave S.W.

  • This role is office based, hours of work are a regular 40-hour work week, Monday to Friday, with the potential for extended work hours based on business needs

  • Our business professional roles follow internal compensation guidelines, and the pay band will generally be based years of experience and scope of work
