Executive Assistant

Department: Operations

Employment Type: Permanent - Part Time

Location: Agomab Antwerp

Reporting To: General Counsel

As we continue to grow, we are looking for an experienced Executive Assistant to join our team for 4 days/week (80%). In this role, you will support members of the Executive Committee to ensure seamless day-to-day operations. You will collaborate closely with the current Executive Assistant to provide outstanding administrative and organizational support in a fast-paced, dynamic environment.

Key Responsibilities

  • Planning and agenda management for members of the Executive Committee and Senior Leadership Team.
  • Provide proactive and service-oriented support including:
    • Schedule internal and external meetings across multiple stakeholders and time zones;
    • Organize travel arrangements and logistics;
    • Forward planning for scientific conferences, KOL meetings and events;
    • Coordinate logistics for meetings, conferences and events;
    • Track action items and follow up to ensure timely completion;
    • Continuously improve administrative processes and identify opportunities for greater efficiency.
  • Work in close cooperation with the current Executive Assistant and the Office Assistant
  • Act as back-up for the current Executive Assistant and the Office Assistant

Skills, Knowledge and Expertise

  • Bachelors degree;
  • 10+ years of experience in a similar role;
  • Excellent understanding of Dutch and English, oral and written;
  • Flexibility to work outside office hours if needed;
  • Exceptional organizational and time-management skills;
  • Ability to prioritize multiple tasks in a fast-moving environment;
  • Strong written and verbal communication skills;
  • A proactive, solution-oriented mindset with great attention to detail;
  • High level of discretion when handling confidential information;
  • Proficient in the use of Microsoft Office: Word, Excel, PowerPoint, Outlook, Teams;
  • Knowledge of SAP is a plus.
