Executive Assistant

Key Responsibilities

On‑Site Leadership and Office Support

  • Manage calendars, scheduling, and meeting logistics of Business Unit President and Country General Manager
  • Provide administrative and logistical assistance when visiting senior leaders are on‑site, including meeting coordination, travel arrangements, workspace support, and ad hoc needs
  • Manage employee access cards, including issuance, collection, and record‑keeping
    Handle visitor registration, coordinate access, and escort visitors to the office as required
  • Maintain office equipment such as the coffee machine and water machine, ensuring they are functional

Leadership Meeting Support

  • Attend Monthly Operating Review (MOR) meetings and accurately capture minutes, including key decisions, action items, owners, and deadlines
  • Distribute meeting minutes to stakeholders and follow up on action items to ensure timely closure

Travel Management (International & Domestic)

  • Assist Business Unit President and Country General Manager with end‑to‑end travel request management, including itinerary review, requirement clarification, and ensuring compliance with company travel policies
  • Monitor travel approvals and follow up with travellers or approvers to ensure timely processing
  • Prepare visa application documents, gather required supporting materials, and coordinate submission to embassies or visa agencies
  • Track visa application status and ensure travellers receive visas ahead of scheduled travel
  • Maintain a reference library of visa requirements for key RoAP travel destinations
    Review international travel requests for accuracy, completion, and policy alignment
  • Coordinate escalations for required approvals and track final approval completion
  • Communicate with travellers regarding missing documentation or additional requirement
  • Maintain a structured tracking process for domestic travel volume, timelines, and approval status

Factory Witness Test (FWT) Application Management

  • Review Factory Witness Test applications for TNSA to ensure justification and required details are complete
  • Manage the multi‑level approval routing process
  • Track FWT submissions and maintain required documentation for audit and compliance

Document Control & Legal Coordination

  • Coordinate the preparation, routing, and collection of signatures for legal documents, contracts, and agreements
  • Maintain proper filing, version control, and secure storage of all signed and archived documents
  • Support Country General Manager for meeting deck and reports preparation.

Qualifications:

  • Minimum 10 years of executive assistant or senior administrative experience
  • Minimum Diploma in Business Administration, Management or relevant field.
  • Bachelor’s Degree preferred.
  • Proven experience supporting senior or executive leadership
  • Strong organizational, time‑management, and multitasking skills
  • Excellent written and verbal communication abilities
  • High proficiency in office productivity tools (email, scheduling, documents, presentations)
  • Ability to manage sensitive information with full confidentiality
  • Strong problem-solving skills and a proactive, resourceful mindset
  • Ability to work independently and adapt in a fast‑paced environment
