This position provides high-level administrative support to the Chief Executive Officer and Executive Leadership Team, ensuring the efficient coordination of executive priorities, communications, meetings, travel, and daily operations. This role serves as a trusted partner to senior leaders by anticipating needs, managing competing priorities, and handling sensitive information with professionalism and discretion.
The ideal candidate is highly organized, resourceful, and proactive, with the ability to work independently, adapt to changing priorities, and deliver exceptional support in a fast-paced environment. Exceptional attention to detail, sound judgment, and strong communication skills are essential to success in this role.

Essential Job Functions:
• Manage complex executive calendars, scheduling, and prioritization of meetings, and other commitments to maximize leadership effectiveness.
• Coordinate domestic and international travel arrangements, itineraries, and logistics, and prepare and submit executive expense reports in a timely manner.
• Prepare, edit, and distribute executive correspondence, presentations, reports, and other business communications with a high degree of accuracy and professionalism.
• Coordinate internal and external executive meetings by managing agendas, materials, logistics, and follow-up actions as needed.
• Conduct research, compile data, and support special projects by preparing analyses, presentations, and other materials for executive leadership.
• Handle highly confidential and sensitive information with discretion, professionalism, and sound judgment.
• Maintain corporate records, organizational documents, and executive files to ensure information is accurate, organized, and accessible.
• Invoice processing and other administrative activities.
• Other duties as assigned.

Qualifications:
Required Qualifications:
• Associate’s degree or equivalent experience.
• 5+ years of progressive experience providing executive administrative support to senior leaders.
• Demonstrated experience managing complex calendars, coordinating travel, and supporting executive meetings and events.
Preferred Qualifications:
• Bachelor’s degree in Business, Communications, English, or related field.
• Experience coordinating corporate events, leadership meetings, or executive-level conferences.
• Proficiency with Microsoft Office (Outlook, PowerPoint, Excel, Word).

Additional Considerations:
Travel Requirements:
• Some travel is required; travel to various SunOpta locations and for meetings or other job-related functions.
Location:
• SunOpta Headquarters, Eden Prairie, MN.
Work Environment:
• Majority of work is performed in an office environment.
• This role follows the SunFlex policy and is expected to be in the office at least three days per week. Additional in-office days may be required based on business needs.
Physical Demands:
• Prolonged periods of sitting and working at a computer, including frequent screen use and visual focus.
• Frequent use of hands and fingers for typing, mouse use, and handling documents or office equipment.
• Occasional standing, walking, bending, stretching, and reaching.
• Ability to lift and carry items up to 50 pounds.
• Sufficient verbal and auditory ability for communication in meetings, calls, and office settings.
