About the role

This is a pivotal executive role
supporting the CEO and Deputy CEO, extending well beyond traditional executive
support. Acting as a trusted extension of the CEO and Deputy CEO, you will
ensure organisational priorities are delivered with pace, accuracy, and sound
judgement, supporting effective executive decision making and strong governance
outcomes.

You will sit at the centre of
Board and Committee operations, governance coordination, and risk reporting,
working closely with senior leaders to ensure clarity, accountability, and
follow through on key priorities. You will also oversee one direct report
within the WHS function, supporting coordination, reporting, and compliance
activities.

Key responsibilities

Executive
support

  • Act as a trusted extension of the CEO and
    Deputy CEO, ensuring requests are actioned with urgency, sound judgement,
    and alignment to executive intent
  • Manage complex calendars and inboxes,
    prioritising urgent, high impact matters
  • Proactively anticipate needs, remove
    blockers, and drive follow through to meet deadlines across the
    organisation
  • Independently source, secure, and
    coordinate documentation and approvals, reducing executive administrative
    load
  • Provide IT and meeting support, including
    Boardroom technology, presentations, systems access, and liaison with
    vendors/helpdesk

Governance,
Board & compliance

  • Coordinate end-to-end Board and Committee
    processes, including agendas, papers, minutes, and action tracking
  • Support Board compliance, including
    training requirements, reporting, and governance documentation
  • Oversee end-of-month reporting
    coordination and cross-business follow-ups
  • Ensure governance documentation is
    accurate, timely, and compliant with organisational standards

Risk
management

  • Maintain the organisational risk register
    and reporting outputs
  • Support risk strategy development and
    monitoring of emerging risks and mitigation actions
  • Contribute to improved risk visibility
    through reporting and governance support

People
leadership – WHS Coordinator

  • Supervise and support the WHS Coordinator
  • Ensure WHS reporting and compliance
    obligations are met accurately and on time
  • Act as operational line manager, with the
    CEO as designated WHS responsible officer
  • Support coordination of WHS
    documentation, reporting, and compliance activities

Key skills
and experience

  • Experience supporting a CEO, Deputy CEO,
    or senior executive in a complex environment
  • Strong Board and governance support
    experience, including minute-taking and compliance coordination
  • Experience with risk reporting or
    organisational risk frameworks highly regarded
  • Proven ability to manage competing
    priorities, meet deadlines, and deliver outcomes independently
  • High attention to detail and strong
    organisational capability
  • Strong IT skills with ability to
    troubleshoot systems and coordinate technical support
  • Experience supervising or leading staff
    preferred
  • Excellent communication and stakeholder
    management skills
  • High integrity, discretion, and alignment
    with organisational values

The Royal Children's Hospital (RCH) has been providing outstanding care for Victoria's children and their families for over 147 years.

We are the major specialist paediatric hospital in Victoria and our care extends to children from Tasmania, southern New South Wales and other states around Australia and overseas.

With a passionate, highly skilled and committed staff campus wide of over 5,000, we provide a full range of clinical services, tertiary care and health promotion and prevention programs for children and young people.

We are the designated state-wide major trauma centre for paediatrics in Victoria and a Nationally Funded Centre for cardiac and liver transplantation.

Our campus partners, the Murdoch Childrens Research Institute (MCRI) and The University of Melbourne Department of Paediatrics, along with the RCH Foundation, are on site with the hospital in Parkville.
