Brown Advisory is seeking a professional, proactive, and highly organized Executive Assistant to provide administrative support to colleagues within the Institutional Business. This role supports multiple investment professionals, including portfolio managers and research analysts, by coordinating schedules, preparing materials, managing logistics, and helping ensure day-to-day activities run smoothly.

The successful candidate will be highly organized, adaptable, and detail-oriented, with strong communication skills and the ability to manage multiple priorities while handling confidential information with discretion. Brown Advisory is seeking a professional, proactive, and highly organized Executive Assistant to provide administrative support to colleagues within the Institutional Business. This role supports multiple investment professionals, including portfolio managers and research analysts, by coordinating schedules, preparing materials, managing logistics, and helping ensure day-to-day activities run smoothly.

The ideal candidate is resourceful, adaptable, detail-oriented, and service-oriented, with the ability to manage multiple priorities, communicate effectively, and handle confidential information with discretion. This position is well suited for someone who enjoys supporting a team, thrives in a collaborative environment, and takes pride in delivering high-quality work.

Primary Duties and Responsibilities

The primary duties and responsibilities include, but are not limited to:

  • Provide administrative support to multiple colleagues across the Institutional Business, including portfolio managers, research analysts, and other investment professionals.

  • Schedule and coordinate meetings, maintain calendars, manage meeting logistics, and assist with preparation of agendas, materials, notes, and follow-up items as needed.

  • Arrange domestic and international travel, prepare itineraries, and process expense reports.

  • Prepare, edit, format, and distribute presentations, reports, meeting materials, and other business documents, ensuring accuracy and professionalism.

  • Support recurring team processes, reporting packages, and distribution of materials using established systems, templates, and procedures.

  • Coordinate internal and external meetings, including scheduling, technology support, food service, guest arrivals, and workspace arrangements.

  • Maintain team schedules, contact information, trackers, and other shared resources to support effective team coordination and communication.

  • Assist with onboarding activities for new colleagues, including coordination of access requests, technology setup, training schedules, and other administrative needs.

  • Support vendor management activities, including maintaining records, coordinating renewals, facilitating approvals, managing access requests, and assisting with vendor communications and training events.

  • Coordinate with internal teams, vendors, and external partners to support meetings, training sessions, licensing requests, and other business activities.

  • Collaborate closely with Executive Assistants, administrative professionals, and team members to ensure seamless support and effective coordination across the business.

  • Identify opportunities to improve processes and efficiency and demonstrate curiosity in learning and utilizing new technologies and tools, including AI-enabled productivity tools.

  • Assist with special projects and other administrative responsibilities as assigned.

  • Handle sensitive and confidential information with discretion and professionalism.

Qualifications

  • 2–5 years of administrative support experience preferred.

  • Bachelor's degree preferred or an equivalent combination of education and relevant experience.

  • Strong Microsoft Office skills, including Outlook, Word, Excel, PowerPoint, and Teams, with the ability to quickly learn new systems and technologies.

  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities with accuracy and professionalism.

  • Strong written and oral communication skills.

  • Demonstrated ability to work effectively in a fast-paced, collaborative, and deadline-oriented environment.

  • Professional demeanor and strong service orientation.

  • Demonstrated curiosity, adaptability, and openness to learning new technologies and ways of working, including AI-enabled productivity tools.

  • Demonstrated ability to build strong working relationships across teams and with internal and external stakeholders.

  • Tact, discretion, and sound judgment in handling sensitive and confidential information.

  • Financial services experience is a plus but not required.

  • Applicants must be authorized to work in the United States without the need for current or future employer-sponsored work authorization (e.g., H-1B , O-1, F-1 (OPT), TN, or any other non-immigrant visa classifications that require employer support or sponsorship).

Salary: $65-80k. Commensurate with experience and location. Does not include bonus or long term incentive eligibility (if applicable).
