The Executive Assistant to ADON’s provides high-level administrative and operational support to the Assistant Directors of Nursing (3), ensuring the efficient coordination of executive activities within a complex healthcare environment. This role requires a highlyorganised,systematicand proactive professional withsignificant experiencein healthcare administration and a strong understanding of hospital operations and governance processes.
The positionis responsible formanaging complex schedules,coordinatingand attending a high volume of meetings, and ensuring the seamless preparation of agendas, meetingpapersand supporting documentation. A keycomponentof the role is the production of clear,accurateand comprehensive meeting minutes, along with the systematic tracking and follow-up of actions to ensure accountability andtimelyoutcomes.

Preparing and distributing comprehensive meeting papers
Produce clear,accurateminutes for often complex discussions
Systematic tracking and follow-up of actions/outcomes from meetings
Liaisewith important internal and external stakeholders
Office management including meeting scheduling, travel and accommodation arrangements,calland email management
Secretariatsupport toa range of committees, including the preparation of complex agendas,accurateminute-taking, and the tracking of committee action items
High levelof drafting and proofing correspondence
Call screening and management of urgent requests
Reporting and presentation preparation
Coordination of events such as functions and workshops asrequired
Undertake other duties as required/directed as service needs change or grow
Provide support to other hospital Executives whenrequired
AdhocProject work aswhenrequired

Extensive experience providing executive or senior administration level support
Extensive experience preparing/creating comprehensive and complex meeting papers
Previousexperience working within a hospital or health care setting is highly desirable andadvantageous
A flexible and adaptable approach with the ability to self-motivate in an autonomous role
High levelof interpersonal,writtenand oral communication skills
Advanced computer skills includingaccuratetyping skills ofat least 80wpm
High level initiative and negotiating skills
Excellent administrative skills with accuracy and attention to detail
Ability to meet deadlines andestablishwork priorities in a busy, fast-pacedand dynamic workplace requiring consistent flexibility to regularlychangingpriorities.
