  • Opportunity to provide the full suite of professional executive support services to the Faculty General Manager and Deputy Deans at the Faculty of Arts and Social Sciences (FASS)
  • Great secondment opportunity for internal staff members
  • HEO 6 Base Salary $107,312 - $115,686 p.a. + 17% superannuation

The Executive Assistant role requires extensive administrative and organisational skills in order to manage a high volume of activity as well as client service skills, tact and diplomacy.Key to the success of the incumbent is their ability to manage and prioritise matters bought to the Faculty Office.

Your key responsibilities will be to:

  • provide high-level executive support to the Faculty General Manager and Deputy Deans, including managing daily operations, administration, correspondence, reporting, meeting coordination and priority activities
  • coordinate executive governance activities, including board and committee meetings, agendas, papers, minutes, elections, appointments, and related documentation
  • build and maintain effective relationships with internal and external stakeholders, providing professional communication, managing enquiries, and supporting collaboration across the University
  • manage administrative systems, records, travel arrangements, events, and operational processes, ensuring compliance with University policies and continuous improvement of office practices
  • support strategic initiatives and undertake projects, research events, workshops, and other activities that enable the Faculty Office to achieve its priorities.

About you

  • administrative experience in a tertiary organisation, working knowledge of academic institutions, structures and the higher education sector
  • excellent time and workload management skills with demonstrated ability to prioritise effectively, manage multiple tasks, meet deadlines and achieve required outcomes
  • excellent verbal and written communication skills, with experience in handling a wide range of enquiries and providing excellent customer service
  • well developed negotiation, conflict resolution, relationship building and influencing skills
  • ability to work both independently and as part of a team, taking initiative and exercising sound judgement in resolving matters that may arise as part of normal daily work
  • advanced computer skills, including Microsoft Office suite, with extensive diary management experience.
